Your role: Business Support Specialist

Responsible for the execution of specific support activities and projects defined by the operations, marketing, digital and sales team within the affiliate. Front and back office support of marketing, sales and technical functions, organizational support for the affiliate, internal and external communication, support for Business Intelligence, organization of events and internal meetings, contract management, interaction with third parties, including the creation of purchase orders, vendor management and control of opex, management of promotional materials including PromoMats and deep knowledge in Ethics&Compliance policies and procedures.

Your Responsibilities:  

  • Act as the main point of contact for PO and Vendor Management for Spain & Portugal, ensuring processes strictly adhere to FRAP policy while supporting, educating, and providing monthly open PO reports to Budget Holders for OPEX control.

  • Maintain adequate, timely monthly financial controls (with a specific focus on Quarter Close) and promptly escalate old open POs to requisitioners for intervention.

  • Support the organization of all customer events and internal meetings - including hotels, flights, and congress subscriptions - as needed by the Digital/Events team, alongside managing sponsorship requests.

  • Manage all third-party contracts with Key Opinion Leaders (KOLs), speakers, agencies, diagnostic laboratories, and universities by populating template data, collecting signatures, and archiving files through Icertis.

  • Oversee the promotional materials lifecycle, warehouse inventory, and system updates, including coordinating the shipment and post-event recovery of materials for sales/technical teams and events.

  • Provide administrative and operational support within the PromoMats system.

  • Process activity requests originating from sales and technical teams, follow up on commercial agreements with indirect customers, and deliver CRM (Elanco Connect) support across promo material shipments, data quality reviews, approved emails, and key messages.

  • Maintain deep knowledge of all company policies and procedures to provide detailed, accurate guidance and compliance support across all commercial activities.
     

What You Need to Succeed (minimum qualifications): 

  • Degree level in either Life Sciences or Business qualification.

  • Fluency in both Spanish and English.

  • Strong proficiency in Microsoft Office software (Word, Excel, PowerPoint).

  • Knowledge of SAP system (not strictly required, but will be taken into consideration).
