As Business Support Coordinator, you will be a key player in helping make everyday life here at Xero tick.
Finding comfort working in an ever-changing and fast-paced environment, with more than strong admin skills to offer, your ability to communicate effectively and think proactively will be second to none. You are the kind of person that is always one step ahead, planning and prioritising constantly as you go.
You will provide exceptional administrative support to the Executive General Managers and Senior Leaders within that business area. A key part of this role is the coordination and orchestration of all work across the domains. You will work closely with other Business Support Coordinators, Operations Managers, senior leaders and wider teams to reduce friction within our processes to ensure everything runs smoothly. You will identify opportunities for improvement and help to deliver those improvements. And ensure the team is well supported, ensuring the smooth management of daily operations.
What you'll do
• Provide administrative support to senior leaders, including diary management, travel bookings, expense claims, and meeting coordination
• Coordinate the XLT annual events calendar with the operations support team and assist with planning as needed
• Build strong working relationships across your group, the wider business, and the admin community
• Raise and track purchase orders, manage contracts, and support payment processes where relevant
• Organise and support leadership events, meetings, workshops, and ensure timely distribution of materials
• Collaborate with EAs to support wider team events (e.g. All Hands, AMAs, offsites, roadshows, Board & Committee Meetings, AGM)
• Support onboarding for new starters
• Liaise between the EGM team and wider business to coordinate diaries, events, and resources
• Champion global ways of working and effective team communication
What you'll bring with you
• Proven experience supporting senior leaders in a fast-paced, global environment, with strong judgement and discretion
• Highly organised, proactive, and detail-focused, with the ability to manage competing priorities and work independently
• Strong relationship builder with excellent communication skills and confidence working across all levels and time zones
• Comfortable working behind the scenes to support others, anticipate needs, and ensure seamless delivery
• A flexible, can-do attitude with a continuous improvement mindset and willingness to pitch in wherever needed
