A Day in the LifeThe Matching & Uploading Business Operations Specialist is responsible for ensuring the accurate matching, validation, and upload of data into business systems. This role involves working with datasets, identifying discrepancies, and collaborating with different departments to ensure smooth data operations. The ideal candidate has a keen eye for detail, strong analytical skills, and experience working with databases and data management tools.

Responsibilities may include the following and other duties may be assigned:

  • Data Matching and Validation: to match, verify, and reconcile data from various sources (e.g., spreadsheets, databases, Enterprise resource planning (ERP) systems).  Identify inconsistencies or errors and resolve discrepancies in a timely manner. Ensure data accuracy before uploading into the company’s systems.
  • Data Upload and Maintenance:  prepare, format, and upload datasets into internal/external platforms or software.  Ensure compliance with data management policies and industry regulations.  Perform regular checks to maintain the integrity and consistency of uploaded data.
  • Collaboration and Coordination: to work closely with other departments (e.g., finance, Customer Care (CC), and Logistics) to ensure seamless data transfers.   Assist in troubleshooting data-related issues that arise during uploads.   Coordinate with external partners, if required, to ensure smooth data exchanges.
  • Reporting and Documentation: to generate reports on data uploads, matches, and discrepancies.  Document data processes and maintain logs of uploads and matching activities.   Provide insights on recurring data issues and recommend process improvements.
  • Technology and Tools Management:  to utilize data management software, Enterprise resource planning (ERP) systems, and spreadsheets for matching and uploads.  Suggest improvements to tools and processes to optimize data handling.  Stay up to date with best practices in data management and upload protocol.

Required Knowledge and Experience:

  • Bachelor’s degree in business administration, Information Systems, or a related field (or equivalent experience).  
  • 2+ years of experience in data management, reconciliation, or operations.  
  • Familiarity with Enterprise resource planning (ERP) systems, databases, and data upload processes.  
  • Strong attention to detail and analytical skills.  
  • Proficiency in Microsoft Excel and data management tools.  
  • Ability to manage large datasets efficiently.  
  • Strong communication and problem-solving abilities.
