We are looking for an experienced, mission-driven Business Operations Manager (Clinical) to join our team in Philadelphia. This hybrid role means you’ll collaborate in-office 3 days/week for key meetings and teamwork, with flexibility to work remotely on other days. As a senior member of our operations team, you will play a pivotal role in ensuring Vitable Health’s operations run smoothly and scale effectively. In this role, you’ll own initiatives that span both healthcare operations and general business operations, bridging the gap between day-to-day clinical logistics and broader strategic planning. You will collaborate across teams to optimize how we deliver care, improve internal processes, and launch new services. It’s a unique opportunity for a hands-on leader who isn’t afraid to roll up their sleeves: you’ll tackle everything from high-level strategy to on-the-ground problem solving in a fast-paced environment. One day you might be refining provider staffing plans or implementing a new workflow for customer onboarding; the next, you could be coordinating a cross-functional project to launch a new clinical service. What You’ll Do- Staffing & Scheduling: Oversee our provider staffing models and schedules to ensure we have the right coverage for members at all times. You will guide scheduling adjustments, coordinate provider availability, and continuously refine our staffing plans to meet member needs efficiently.
- Quality Assurance & Improvement: Lead quality assurance efforts across our operations to maintain high standards of care. Track key operational and care-quality metrics, identify areas for improvement, and implement solutions to enhance the member and provider experience.
- Onboarding & Training: Manage the onboarding and training of new healthcare providers and operations team members. Ensure all new hires are properly educated on our systems and service protocols. You’ll refine training materials, run orientation sessions, and act as a mentor and go-to resource as the team grows.
- Process Improvement Projects: Drive process improvement initiatives to streamline workflows and increase efficiency. You will lead projects to automate manual processes, optimize our member intake and provider dispatch systems, and evaluate new tools or third-party solutions, anything that improves efficiency and quality in our operations.
- Member & Provider Support: Ensure a seamless, compassionate experience for both our members and our providers. Oversee the support processes and step in to troubleshoot complex scheduling issues or operational questions, so that everyone using our service has a smooth experience.
- Cross-Functional Leadership: Work closely with other teams (clinical, product, engineering, customer success, etc.) to launch new initiatives and ensure operational readiness. You’ll connect the dots between functions, coordinating logistics and following up on action items to keep cross-team projects on track. When we roll out a new service, you’ll lead the operational planning and execution.
- Team Leadership & Development: Manage and mentor a small team of operations analysts and contractors. Set clear goals, provide feedback and coaching, and foster a collaborative environment where the team can excel. You will lead by example ready to jump in and work alongside your team whenever needed, while also developing their skills and careers.
- Data Analysis & Reporting: Leverage data to drive decisions and strategy. Maintain and improve dashboards for key performance indicators (e.g. provider utilization, turnaround times, member outcomes) and analyze operational data to spot trends or bottlenecks. Your analytical insights will help guide leadership decisions and inform where we focus next.
- Education & Experience: Bachelor’s degree (or higher) in Economics, Business Administration, or a STEM-related field. 4–6+ years of experience in operations, business strategy, or a related role (healthcare or high-growth startup experience is a strong plus). At least 1–2 years of experience leading or managing people (even in a mentorship or project capacity) is required.

- You’re a strategic problem-solver who uses data to drive decisions. Whether it’s Excel, SQL or other analytics tools, you know how to spot patterns, analyze root causes, and make smart, data-driven decisions.
- You can juggle multiple projects and keep operations running smoothly. Whether coordinating schedules or executing a project plan, you make sure no detail slips through the cracks.
- You communicate clearly and simply, and can connect with others across teams. You’re comfortable talking to frontline providers, engineers, or executives, and you handle questions and cross-team collaboration with patience and professionalism.
- You pick up new tools and software quickly, and you’re adept at optimizing processes. If you can troubleshoot technical issues or streamline workflows through technology, even better.
- You’re energized by change and step up without being asked. You figure things out, ask smart questions, and excel in fast-moving, sometimes ambiguous environments.
- You work well with others and know when to lead versus support. You’re independent but highly collaborative, and you speak up when something can be improved.
- Location: Located in (or willing to relocate to) the Philadelphia area. You are able to be on-site at our Philly office on a weekly basis (3 days/week) for in-person collaboration and team meetings.
