Overview

As a Business Operations Coordinator supporting the Microsoft AI (MAI) HR organization, you will play a key role in enabling the team's success through administrative support and program coordination. Partnering closely with HR leaders and the broader MAI HR team, you will help drive team effectiveness, support onboarding, coordinate people initiatives, and ensure seamless execution of operational priorities.

Responsibilities

Team Operations & Coordination 

  • Manage team operations, including meeting rhythms, calendar coordination, onboarding activities, communications, and administrative processes that support organizational effectiveness. 
  • Coordinate onboarding experiences for new team members, helping them build connections, access resources, and ramp quickly within the MAI HR organization. 
  • Support planning and execution of team events, leadership meetings, offsites, recognition activities, and other employee engagement initiatives. 

Program & Mission Support 

  • Coordinate HR programs, projects, and mission-based workstreams, ensuring activities are organized, tracked, and executed effectively. 
  • Partner with HR team to manage deliverables, timelines, communications, and follow-up actions across multiple initiatives. 
  • Monitor progress against priorities, identify risks or dependencies, and help drive accountability to ensure successful execution. 

Operational Excellence 

  • Create and maintain processes, tools, and documentation that improve team efficiency, consistency, and scalability. 
  • Support reporting, tracking, and preparation of materials that provide visibility into team priorities, commitments, and outcomes. 
  • Adapt quickly to shifting priorities and evolving business needs, helping the team remain agile in a fast-paced, high-growth environment. 

Qualifications

Required Qualifications

  • Bachelor's Degree in Engineering, Business, or related field OR equivalent experience.

Preferred

  • 4+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • Experience supporting team operations, business programs, HR, or people-related initiatives in a fast-paced, rapidly evolving environment. 
  • Proficiency with Microsoft 365 tools (Teams, Outlook, Excel, Power BI, SharePoint, Copilot, etc.) AND Slack to support reporting, communications, and operational effectiveness.

Process Management IC2 - The typical base pay range for this role across the U.S. is USD $70,500 - $125,200 per year. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $95,000 - $142,400 per year.
