About the Role
Ensures all Business Office operations are functioning accurately and timely for proper generation of management reports and cash flow. Follows legal guidelines and instructions by the medical record service or Health Information Supervisor to ensure prompt completion, filing and retrieval of the medical record.
POSITION’S ESSENTIAL RESPONSIBILITIES:
- Supervision of all office functions including reception, admitting, and accounts receivable management.
- Responsible for staff adherence to all Business Office Policies and Procedures.
- Assist the Director of Revenue Cycle in all functions of Revenue Cycle.
- Holds periodic staff meetings to assure coordination of efforts.
- Conducts periodic performance reviews on all Business Office Staff.
- Monitor workload and personnel needs of Business Office.
- Trains, develops, and motivates Business Office Staff.
- Prepares and provides analysis of monthly financial and management reports.
- Monitors cash flow and assists accounting department with monthly analysis.
- Responsible for daily cash management procedures. Receives and accounts for all cash received in accordance to the facility policy.
- Disburses and ensures disbursement of cash in accordance to the facility policy.
- Reviews insurance contracts to assure accurate contractual reimbursement and collections and adherence to Business Office policies and procedures.
- Maintains good working relationships with payors.
- Maintains good working knowledge of insurance payors reimbursement.
- Communicates updates and requirements to Business Office personnel on an as needed basis.
- Maintains inventory of forms and office supplies.
- Resolves problems within department as they arise.
- Prepares analysis reports for annual outside audit.
- Responsible for verification that the backup process is maintained daily.
- Reviews all business procedures and recommends adjustments to Director of Revenue Cycle on an as needed basis and as required by regulatory standards.
- Monitors fee schedule and submits suggested changes to Director of Revenue Cycle.
- Periodically reviews computerized fee schedule and that all changes to fee schedule, once approved, have been implemented in computer system.
- Assumes any other responsibilities that may be assigned by the Director of Revenue Cycle on an as needed basis.
- Set clear goals and expectations; provide regular coaching, feedback, and performance reviews.
- Develop talent through mentoring, training, and career development initiatives.
- Promote a collaborative and engaging work environment that aligns with company values.
- Manage conflict and make timely decisions to maintain team focus and performance.
- Conduct regular one-on-one meetings, performance reviews, and development conversations.
- Approve timecards, schedules, time-off requests, and other administrative HR functions.
- Ensure compliance with company policies, labor laws, and safety regulations.
- All other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:
- Associate's or Bachelors degree in healthcare administration, business, or a related field preferred
- May substitute an Associate's degree with four (4) years of relevant experience.
- Two (2) years of Business supervisor experience.
- Minimum one-year consumer collection experience in a high call volume.
- Medical Collections experience.
- Customer Service, experience in a high call volume.
- Computer experience required in windows, spreadsheet, word processing, and EHR.
