Job Summary:

The Business Office Assistant supports the daily operations of the Business Office within a Skilled Nursing Facility.  This role is responsible for assisting with billing functions, cash collections, accounts receivable follow-up, and administrative financial processes to ensure timely reimbursement and accurate financial records. The position works closely with the Business Office Manager (BOM) to maintain compliance, optimize cash flow, and support overall revenue cycle performance.

  

Essential Duties and Responsibilities

  • Supports and promotes the mission and values of Covenant Health Ministry.

Billing & Accounts Receivable Support

  • Assist with preparation and submission of claims for Medicare, Medicaid, Managed Care, and Private Pay residents
  • Support timely and accurate billing in accordance with payer guidelines
  • Perform routine A/R follow-up on outstanding balances, focusing on aging accounts
  • Research and resolve billing discrepancies, denials, and rejected claims
  • Maintain accurate documentation of collection efforts in the billing system

Cash Collections & Posting

  • Assist with daily cash posting, including checks, EFTs, and electronic remits
  • Reconcile payments to billed amounts and identify variances
  • Support collection efforts including phone calls, statements, and follow-up correspondence with residents and responsible parties
  • Monitor private pay accounts and assist with collection of outstanding balances

Administrative & Financial Support

  • Prepare and send resident statements and collection letters
  • Maintain organized financial records, files, and supporting documentation
  • Support refund processing and credit balance review under direction of the BOM
  • Assist with month-end close processes and reporting requirements

Customer Service & Communication

  • Communicate professionally with residents, families, and responsible parties regarding billing and account inquiries
  • Provide clear explanation of charges, insurance coverage, and payment expectations
  • Collaborate with Admissions, Social Services, and Clinical teams to ensure accurate financial information
  • Any other essential duties and responsibilities will be added between “Supports the mission” and “Other duties”
  • Other duties as consistent with this role.

Education and Experience

  • High School Diploma or equivalent required; Associate’s degree preferred
  • 1–3 years of experience in healthcare billing, SNF business office, or accounts receivable preferred
  • Knowledge of Medicare, Medicaid, Managed Care, and Private Pay billing processes is highly desirable
  • Experience with PointClickCare (PCC) or similar billing systems preferred
  • Proficient in Microsoft Office (Excel, Word, Outlook)

Comp Range:

$20.52 - $28.26

Rate of pay displayed reflects the beginning of the pay scale.  At the time of an offer, determination of your offer will reflect your skills and experience as it relates to the position.
