Your role at Exness:
We are looking for a detail-oriented and proactive Executive Business Assistant to provide full administrative support to a Manager. The ideal candidate will handle schedule management, coordinate travel arrangements, and streamline communication. This role demands excellent multitasking skills, strong attention to detail, and the ability to thrive in a dynamic, fast-paced setting.
You will:
- Skillfully oversee the Directors' calendars, prioritizing appointments, meetings, and conference calls.
- Coordinate with both internal teams and external contacts to schedule and confirm engagements.
- Organize comprehensive international travel plans for the Directors, covering flights, accommodations, ground transportation, and visa arrangements.
- Prepare detailed travel packets, including essential documents and itinerary specifics.
- Proactively address and resolve any issues or last-minute adjustments related to travel.
- Organize meetings and events.
- Maintain and organize confidential records, documents, and files for the Directors.
- Prepare and circulate meeting minutes, reports, and other necessary documentation.
What makes you a great fit:
- Proven experience as an Executive Business Assistant, or similar role, preferably supporting high-level executives.
- Excellent organizational skills and ability to prioritize tasks effectively.
- Strong communication and interpersonal abilities, with a professional and diplomatic demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Flexibility to adapt to changing priorities and work independently with minimal supervision.
- Experience in international travel coordination and event planning is preferred.
- Bachelor's degree or equivalent qualification is desirable.
- Fluency in Greek, English and Russian languages.
