PURPOSE:
To bridge operational requirements with technical system configuration by translating complex workforce scheduling, compliance, and time tracking workflows into scalable system requirements. The role ensures accurate data validation, optimized workflow design, and successful User Acceptance Testing to deliver measurable operational and financial outcomes.

KEY RESPONSIBILITIES

  • Lead structured discovery workshops to document current workforce scheduling processes, including shift bidding, compliance requirements, fairness rules, and exception handling.
  • Analyze operational data such as volume trends, shift patterns, staff preferences, and leave calendars to inform system configuration and workflow design.
  • Design optimized future state workflows leveraging AI driven capabilities aligned with operational efficiency and cost control objectives.
  • Validate and reconcile client data during migration and integration to ensure accuracy, completeness, and system integrity.
  • Define and document configuration rules including compliance guardrails, fatigue management parameters, fairness algorithms, and cost controls.
  • Configure and validate performance dashboards aligned with client specific KPIs such as utilization rates and overtime trends.
  • Develop test scenarios and scripts and lead end to end User Acceptance Testing with key stakeholders.
  • Identify and resolve functional gaps between user expectations and system capabilities, documenting structured requirements for Product and Engineering teams.
  • Act as the primary liaison between client stakeholders and internal technical teams to ensure clear communication and timely resolution.
  • Represent the voice of the customer internally and support Implementation Managers with detailed functional documentation, workflow diagrams, and data insights.

QUALIFICATIONS, SKILLS, AND EXPERIENCE

  • 4 to 7 years of experience as a Business Analyst within SaaS, Healthcare IT, or Workforce Management solutions, with strong understanding of 24/7 workforce scheduling complexities including compliance windows, fatigue management, and preference-based scheduling.
  • Hands on scheduling experience in a shift-based environment such as staff scheduler, roster clerk, or operations coordinator is strongly preferred; experience with healthcare systems in the UAE, UK, or US is advantageous.
  • Advanced proficiency in Excel with strong analytical capability in data modelling and validation and working knowledge of SQL to query and validate large datasets.
  • Experience with EMR systems such as Epic or Cerner is a plus; familiarity with ERP or HRIS platforms such as SAP, Oracle, or Workday is desirable.
  • Bachelor’s degree required, preferably in Industrial Engineering or a related discipline; CBAP certification is an advantage.
  • Strong attention to detail with the ability to manage multiple workstreams simultaneously, analytical mindset with structured problem solving and root cause identification capability, user centric approach balancing operational efficiency and employee experience, and clear communication and facilitation skills for leading workshops and stakeholder discussions.
