POSTION PURPOSE--The purpose of this position is to provide bookkeeping and administrative services for the parish.
MAJOR DUTIES AND RESPONSIBILITIES
Assures the development and maintenance of the computerized financial bookkeeping system for the parish. Maintains accurate and current accounts payable and receivable ledgers, ensures timely payment and accurate documentation of accounts payable. Prepares invoices for accounts receivable.
Assures the maintenance of all parish bank accounts. Processes all check requests and assures there is proper authorization and documentation for expenditures in all program and operating accounts. Reconciles bank statements on a monthly basis.
Prepares and submits financial statements and reports to the Pastor, Pastoral Assistant for Administration/Stewardship, and Finance Council.
Oversees the preparation of monthly staff payroll reconciliation with parish financial program.
Manages the online giving program for contributions to the parish, assists parishioners using the online platform, and assures that all contributions are deposited, recorded and accounted for in an accurate and timely manner.
Oversees parish credit card use and reconciles credit card statements with parish financial program.
Provides bookkeeping support for those who direct the various fundraising efforts for the parish, including the Annual Catholic Appeal, Stewardship Renewal and special collections. Processes the annual Stewardship financial pledges and maintains the renewal database. Processes thank you and reminder letters for the renewal campaign.
Implements the Archdiocesan records retention schedule for parishes. This includes, but is not limited to, paper and computer records, archive files and photographic files.
Manages calendaring for outisde groups at St John the Baptist
Provides services in a manner that maintains and honors confidentiality of all written and verbal information.
SECONDARY FUNCTIONS
Other bookkeeping related duties as assigned.
Qualifications
Preferred Qualifications:
--Associate's degree in Accounting, Finance, or related field, or 2-4 years of relevant, hands-on booking experience
--strong proficiency in QuickBooks or similar online program
--familiarity with Excel/Word/Outlook
--understanding of Generally Accepted Accounting Principles
--high attention to detail, strong organizational skills, time management, and the ability to maintain confidentiality
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
