*The Board Relations Coordinator will have a home office with 25% travel to board meetings in CA and possible conferences out of state. This included 20 days in person at the Pasadena HQ for professional development and company events. We have fun when we get together!!

Salary - $25.00 - $30.00 hourly pay rate. Depending on experience. Hourly overtime eligible role.
 

Essential Functions include, but are not limited to the following:*

  • Acts as a liaison for the Board Relations team in project coordination, governance, and routine administrative activities. Communicates clearly and collaborates well with all necessary board members, executive team members, and departments for updates, contracts, and relevant material.
  • Responsible for setting up both quarterly and monthly meetings, inviting participants, reserving space and conference lines and confirming member and staff attendance.
  • Collaborate with staff members on completing tasks.
  • Responsible for generating agendas, compiling and creating board package materials for each meeting. Ensures that board packages meet legal requirements and fulfill board member requests and concerns.
  • Coordinates travel arrangements, itineraries, meetings and events for the Designated department as needed.
  • Create and composes correspondence in concert with the Board Relations team as needed, providing error-free final products with a minimal number of drafts.
  • Prepare data and training presentation for varied audiences. Including an understanding of using Zoom and or other virtual application in order to present.
  • Organizes and maintains corporate documents and records (i.e., notices, contracts, memos, articles, minutes, etc).
  • Maintains operation excellence for governance and board relations (including but not limited to):
    • Coordinating annual OMA/OML training requirements
    • Maintaining a working knowledge of state-specific charter school laws and open meeting laws in order to comply with public notice requirements, reporting requirements, and quorum requirements.
    • Manage operational requirements and term limits as states in the bylaws.
    • Process board resignations.
  • Maintains the yearly board calendar
  • Assists in reviewing, evaluating, and preparing various legal documents as needed for conformation and consistency.
  • Manages contracting efforts, pre- and post- board meeting and assists in contract development and review process.
  • Coordinates travel arrangements, itineraries, meetings, and events for the board members, Board Relations team, or executive team, as needed. Additional duties as assigned.
    • Coordinate board birthday gifts/holiday gifts
    • Plan/execute annual board retreat, including itinerary, travel, and supplies for staff and board members
    • Writing scripts for executive staff for board-related events
    • Working with various departments to pull legal and financial documents for meetings
    • Following up on board action and questions post meeting to ensure that they are pursued and met
    • Providing clerical support for Supervisors and helping other Executive Assistants as needed

Knowledge, Skills and Abilities Required:

  • Ability to identify Supervisors' needs and independently resolve potential problems.
  • Ability to make decisions, exercising reasonable independent judgment and discretion with minimal guidance and/or supervision.
  • Ability to maintain confidentiality and appropriately disseminate information.
  • Ability to follow up on task commitments and give updates as needed.
  • Ability to work efficiently under pressure and meet deadlines, while maintaining courtesy and professionalism.
  • Excellent written and oral communication skills.
  • Excellent organizational and proofreading skills, with attention to detail while working on multiple projects simultaneously.

  • Ability to remain positive, upbeat, and solutions-oriented in a constantly shifting environment while working with diverse populations and age groups.

  • High level of proficiency with Microsoft Office suite, and ability to type 50 wpm.

Education and Experience:

  • Bachelor’s degree required.
  • Administrative experience at executive level or equivalent related experience. Experience in related field for designated department preferred.
  • Contract management experience preferred.
