Zello is seeking a detail-oriented and customer-focused Billing Specialist to join our Finance team in Austin, TX. This hybrid role offers the opportunity to contribute to our mission of enabling real-time voice communication for frontline teams across industries. As a Billing Specialist, you will ensure billing accuracy, support customer inquiries, and help maintain seamless financial operations.
After a successful first year, you willHave taken full ownership of our billing and invoicing processes, ensuring 100% accuracy and timely delivery.
Be the primary contact for billing-related customer support, resolving inquiries with professionalism and empathy.
Have implemented improvements to streamline billing workflows and reduce manual touch-points.
Collaborated cross-functionally with Sales, Customer Success, RevOps, and Finance to support renewals, reporting, and collections.
Developed documentation for billing policies and procedures to support team scalability and training.
Manage Hubspot billing requests in a timely and accurate manner
Maintain accurate customer subscription records in the billing and CRM platforms.
Process subscription changes (upgrades, downgrades, cancellations) and apply pro-rations as needed.
Maintain internal documentation for billing policies and procedures.
Accurately and promptly generate and distribute custom customer invoices.
Manage customer billing inquiries and work with internal teams to resolve issues.
Reconcile billing data with internal records and assist with month-end close.
Support revenue reporting and audit preparation.
Contribute to process improvement initiatives and financial system upgrades.
Generate ad-hoc and scheduled reports for finance, management, and stakeholders.
You have 2+ years of billing or accounts receivable experience, ideally in a SaaS or subscription-based business.
You are detail-oriented, organized, and take pride in getting things right the first time.
You have excellent communication and problem-solving skills, with a customer-first mindset.
You are comfortable working with financial systems Zuora, Hubspot, or similar ERP & CRM systems
You are collaborative, proactive, and thrive in a fast-paced environment.
You are based in Austin or open to relocating for a hybrid role.
