Job Description
In this role, the Billing Specialist will be responsible for understanding and preparing complete and accurate project invoices for all contract types (CPFF, FFP, and T&M), in accordance with contractual requirements, and contributing to timely collection of payments. Billing Specialist receives, reviews, and confirms billing requests daily, to then generate invoices to be sent to the customers. The company accounting system is Detlek Costpoint 8.1.0. The Billing Specialist is expected to be confident in learning the new system as well as several customer required systems for billing (WAWF, IFF, GCPay, Txturs, Corrigo, and more).
PRIMARY DUTIES:
- Invoice customers in a timely and accurate manner.
- Identify and confirm invoicing requirements with the project manager(s), contracts department, and other accounting staff.
- Ensures invoices are in compliance with appropriate contracts, guidelines and regulations.
- Identifies issues, research, and remedies as appropriate
- Understand the basic contract document(s) as it relates to billing
- Able to correct/adjust billing formats as necessary in the Costpoint accounting system
- As applicable; remit invoices to customers or input invoices into customer’s web-based invoicing systems
- Assist in review A/R aging report and resolve any collection issues
- Establish a business relationship with internal and external customers. Provide guidance and support to facilitate accurate and timely billing and prompt collection
- Perform other duties as assigned by management
- Identify potential problems or areas for improvement and suggest solutions
- Excellent communications skills (written, interpersonal, and presentation skills)
- Highly organized with precise attention to detail
- Communicate billing concepts and issues to project managers, controller, and senior management
Qualifications
EDUCATION/EXPERIENCE REQUIREMENTS:
- Experience working with Deltek Costpoint a plus
- 1-2 years of experience in billing/accounts receivable
- Experience with varying combinations of billing types and frequencies; Firm Fixed, Time and Material, Milestone, Percentage of Completion, Monthly, Quarterly, Yearly.
- Experience with POC billing using AIA format a plus
- Proficient with Microsoft Office
- Strong Excel and analytical skills
- Experience working in a team environment and ability to work with numerous different groups in a large organization
- Familiarity with Government billing system a plus (i.e. WAWF, IPP)
WORK HOURS:
Monday – Friday, 8:00 AM – 5:00 PM
