Position Overview

Pacific Northwest Fertility is seeking a full-time, hybrid remote Billing Manager to lead and optimize our Revenue Cycle Management (RCM) Billing Team. Reporting to the Practice Administrator and Chief Revenue Cycle Officer, this role is responsible for overseeing all billing operations, driving process improvements, and maximizing collections while ensuring compliance and positive patient billing experience.

The ideal candidate is a collaborative leader with deep healthcare billing expertise, a passion for operational excellence, and a desire to support patients pursuing fertility care.

Please note, this is a hybrid remote position and will require on-site work at our Seattle location on a weekly basis.

Key Responsibilities

Leadership & Team Management

· Supervise the day-to-day operations of the billing department, including assigning tasks, setting priorities, and monitoring performance to ensure timely and accurate billing.

· Provide ongoing coaching, training, and professional development for billing staff.

· Conduct performance evaluations, set goals, provide constructive feedback, and motivate team members to achieve high performance.

· Serve as the primary point of escalation for complex billing issues and disputes.

Revenue Cycle & Billing Operations

· Oversee the full billing lifecycle, including claims submission, patient statements, payment posting, collections, and accounts receivable follow-up.

· Ensure timely and accurate claims processing to optimize cash flow and minimize revenue leakage.

· Monitor patient balances and outstanding accounts, implementing strategies to accelerate collections and reduce AR.

· Support RCM Operations in developing and maintaining infrastructure for accurate and timely claims submission.

Accuracy, Compliance & Auditing

· Establish, maintain, and enforce billing policies, procedures, and standardized workflows to ensure consistency and compliance.

· Ensure accuracy of billing data through invoice review, audits, and quality control measures.

· Maintain compliance with healthcare regulations and payer requirements, including HIPAA and applicable federal and state guidelines.

· Ensure availability of accurate documentation for internal and external audits.

Systems, Reporting & Optimization

· Oversee management and optimization of the RCM billing system.

· Ensure effective integration between the Electronic Medical Record (EMR) and Practice Management systems; recommend system enhancements to improve workflows.

· Collaborate with Finance to provide accurate billing data for reporting, forecasting, and analysis.

· Generate and analyze billing reports and key performance indicators to support financial planning and decision-making.

· Identify opportunities for workflow improvements, automation, and process efficiencies.

Patient Experience & Collaboration

· Ensure a smooth and transparent billing experience for patients by addressing inquiries and concerns promptly and professionally.

· Collaborate closely with Operations, Finance, Clinical, and Corporate teams to align billing activities and resolve issues.

· Communicate billing policies, updates, and process changes clearly to internal stakeholders.

· Other duties as assigned.

Professional Development

· Stay current with industry trends, best practices, and technological advancements in healthcare billing and revenue cycle management.

· Participate in relevant training programs, conferences, and continuing education.

Education & Experience

· Associate degree or equivalent experience required.

· 5-7 years of experience in a healthcare billing or revenue cycle environment required.

· 3+ years of experience leading or supervising an RCM or Billing Team.

· Experience in women’s health or fertility services is strongly preferred.

· Demonstrated knowledge of medical terminology, CPT/ICD coding, and payer requirements.

· Experience working with third-party payers and insurance company billing regulations.

· Working knowledge of healthcare regulatory and compliance requirements (e.g., HIPAA).

· Experience with project implementation and/or program management.

· Advanced Excel skills preferred; experience with business intelligence tools a plus.

· Excellent verbal and written communication skills, with the ability to produce clear reports and documentation.

· Strong organizational and time-management skills with the ability to prioritize competing, time-sensitive responsibilities.

· High level of discretion and sensitivity to patient privacy and confidential information.

· Strong analytical and problem-solving skills with attention to detail.

· Ability to adapt to a fast-paced, evolving healthcare environment.

· Proficiency with Microsoft Office (Word, Excel, Outlook), EMR, and Practice Management systems.

· Professional demeanor with the ability to handle challenging situations and resolve conflicts effectively.

· High integrity, sound judgment, and the ability to positively influence others.
