Position Summary
The Administrative Assistant is responsible for organizing, coordinating, and providing administrative support to ensure the efficient operation of the office. This role serves as a key point of contact for employees, customers, vendors, and visitors while maintaining professional communication, supporting office management functions, and assisting leadership with various administrative tasks. These tasks will be completed in both English and Spanish, so bilingual skills in both is a primary requirement.

Key Responsibilities
•    Answer and direct incoming phone calls in a professional and courteous manner.
•    Greet and assist visitors, customers, and business partners.
•    Perform all job duties in accordance with company safety policies, procedures, and established safety practices.
•    Provide administrative support to management and leadership teams as assigned.
•    Communicate effectively with employees, customers, agents, support staff, and other business contacts in person, by phone, email, and written correspondence.
•    Deliver exceptional customer service and resolve routine inquiries as needed.
•    Sort, distribute, and process incoming mail and prepare outgoing mail and shipments.
•    Maintain office supplies inventory and negotiate purchases of office supplies and equipment in accordance with company purchasing guidelines and budget requirements.
•    Coordinate maintenance and servicing of office equipment, including copiers, fax machines, printers, and telephone systems.
•    Maintain organized filing systems and ensure accurate recordkeeping.
•    Handle confidential information with discretion and professionalism.
•    Assist with scheduling, reporting, data entry, and other clerical duties as assigned.
•    Support branch and office operations to ensure efficient workflow and productivity.
•    Perform additional duties and special projects as assigned by management.

Qualifications
Required Education
•    High School Diploma or equivalent required.
Required Experience
•    Minimum of 2 years of experience in office administration, office management, or a related administrative role.
Preferred Experience
•    Clerical or administrative office experience.
•    Insurance industry experience preferred.

•    Strong verbal and written communication skills.
•    Proficiency in Microsoft Office Suite, including Word, Excel, Access, and PowerPoint.
•    Ability to maintain confidentiality and handle sensitive information appropriately.

•    Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
•    Excellent attention to detail and accuracy.
•    Analytical and problem-solving skills.
