POSITION TITLE:              Bilingual Administrative Support Specialist

PROGRAM:                         Children’s Outpatient

GENERAL STATEMENT OF RESPONSIBILITIES:

The Administrative Support Specialist positions at Wellmore, Inc. could be responsible for any combination of the following functions occurring in the front desk/billing area of the agency as assigned by the Administrative Operations Manager or senior management at Wellmore. General areas of functions include greeting clients and families, answering telephones, taking referrals for all programs, handling crisis calls, billing, data entry, verifying client information, filing, assist doctors, process third party requests for information and other general administrative support functions.

SUPERVISION:   

Supervised by: Administrative Operations Manager (or designee)

EXAMPLES OF RESPONSIBILITIES:

Responsible for maintaining provider schedules and entering appointments into the scheduling system, greeting and checking in clients and families, assisting walk-in clients, and verifying and updating client demographic and insurance information. Duties include copying insurance cards for billing purposes, collecting co-pays and fees, notifying clinicians of client arrivals, answering and directing incoming calls, taking messages, and responding appropriately to crisis calls. This role also involves gathering referral information, following established triage protocols, scheduling orientation appointments, sending intake and orientation documentation, assisting with orientation meetings, preparing orientation packets, and processing releases of information for new and returning clients in accordance with agency procedures and confidentiality standards. The ideal candidate must be bilingual in English and Spanish and able to effectively communicate and translate information for Spanish-speaking clients and families. Additional duties may be assigned as needed to support program and organizational operations.

WORK SCHEDULE & LOCATION:
Schedule Flexibility: 
You may be required to flex your schedule based on program needs 
 If hired as part of the evening team, availability Monday through Thursday from 11:00 a.m. to 8:00 p.m. required. 
Locations:
Primary Location: Naugatuck, CT – Cross-coverage at our Waterbury, CT office is a mandatory requirement and will be assigned as needed; Other locations as required based on program needs 

 

Qualifications

QUALIFICATIONS:

  1. Have the ability to maintain the utmost confidentiality of both agency and client matters. 
  2. Maintain a level of adequate productivity as determined by your supervisor.
  3. Be capable of working as part of a team.
  4. Be able to effectively communicate with both families and professionals (in writing and verbally) in English and Spanish.
  5. Have the ability to maintain a flexible work schedule.

EDUCATION & EXPERIENCE:

High school diploma or equivalent. Experience in office procedures, customer service, and/or working with children and families necessary. Computer competency required. Bilingual Spanish is required.

LICENSURE/CERTIFICATION/REGISTRATION:

Valid driver’s license, reliable transportation, and valid auto insurance is required; CPR and first-aid.
