Job Description

The Bid Admin Assistant II keeps Lakeshore's bid process running smoothly — on time, organized, and compliant. You'll support the preparation and submission of customer bids and contracts, working alongside Sales, Legal, Operations, and Customer Service to make sure every detail is in place. Your work directly enables Lakeshore to serve the schools and families who rely on us.

A day on the job looks like this:

  • Coordinate bid activities from start to finish — tracking deadlines, managing correspondence, and following up on deliverables to keep submissions on schedule.
  • Research solicitation documents and bid opportunities to surface requirements, flag key deadlines, and gather the information the team needs to respond accurately and on time.
  • Partner with Sales, Customer Service, Legal, and Operations to collect documentation, resolve open items, and move bid projects forward.
  • Maintain clean, current records in Salesforce and other tracking systems — entering data, updating fields, and organizing supporting materials so nothing falls through the cracks.
  • Compile and organize bid submission packages, including required forms, response materials, and supporting documentation, and coordinate delivery logistics to meet submission deadlines.

Qualifications

What you bring:

Required:

  • 1–2 years of experience in bid administration, contracts, procurement, or a closely related support role
  • Comfortable working with data entry and record-keeping systems; basic Salesforce experience a plus
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong attention to detail — you catch errors before they become problems
  • High school diploma or equivalent
  • Ability to work onsite at our Carson, CA office on a hybrid schedule

Preferred:

  • Associate's degree or relevant coursework in business, communications, or a related field
  • 2+ years of experience in bid, contracts, or procurement support
  • Familiarity with bid portals, e-procurement platforms, or contract management tools

What sets you apart:

  • You stay organized when priorities shift fast and deadlines stack up — you build systems that hold even under pressure.
  • You communicate clearly and proactively, keeping teammates and stakeholders informed without being asked.
  • You take ownership of your tasks and follow through to completion, even when the path forward isn't fully mapped out.
  • When something doesn't look right, you ask — and you use feedback to get sharper over time.
