Job DescriptionAbout the Opportunity
The Benefits & 401(k) Analyst administers Solaris Energy's employee benefits and 401(k) programs and serves as the primary point of contact for benefits-related inquiries for employees based in Houston. The role also acts as a resource to field-based HR representatives who support benefits for the broader employee population, providing structure and consistency across a decentralized HR support model. This position works closely with Payroll to ensure benefits deductions and 401(k) contributions are processed accurately and transmitted on time.
Essential Functions
Benefits
- Administer health, dental, vision, life, disability, and voluntary benefits Plans directly for Houston-based Executive and administrative employees; including enrollments, changes, terminations, and qualifying life events.
- Serve as the go-to resource on benefits for field-based HR representatives who support the broader employee population, providing consistent guidance, plan interpretation, and escalation support across a decentralized HR model.
- Build and maintain standard processes, communication plans, talking points, and response guides so field HR representatives have confidence to handle routine benefits questions consistently, wherever employees are located.
- Be the escalation point when field HR reps hit something outside their depth and coordinate directly with carriers to resolve them.
- Support open enrollment execution: build the timeline, prepare materials for all employees, align with field reps ahead of enrollment, and troubleshoot errors as they surface.
- Reconcile benefits invoices against enrollment records each month and resolve discrepancies with carriers.
- Coordinate leaves of absence and disability claims with carriers and HR business partners.
- Maintain compliance documentation and support ACA, ERISA, HIPAA, and COBRA administration.
- Travel to field offices in Louisiana and Tennessee to support local HR representatives in person, including benefits fairs and enrollment periods.
- Support benefits integration during mergers and acquisitions, including plan mapping, harmonization of coverage, and enrollment transitions for employees.
401(k) & Recordkeeping Coordination
- Serve as the day-to-day link between SAP Success Factors, UKG payroll, and Empower 401(k) administration, ensuring employee deferral and employer match/profit-sharing amounts are withheld correctly each pay cycle.
- Transmit contribution and census files to Empower on schedule each pay cycle, including new-hire eligibility feeds and deferral change files.
- Reconcile funded contributions against payroll deductions each cycle and resolve discrepancies before they compound across pay periods.
- Troubleshoot and resolve file transmission errors or rejected records with Empower.
- Track eligibility timing and confirm auto-enrollment/auto-escalation actions post correctly in payroll.
- Coordinate loan, hardship withdrawal, and distribution requests between employees, payroll, and Empower.
- Support annual compliance testing and Form 5500 preparation by pulling and validating payroll data as requested.
- Maintain accurate beneficiary designation records in coordination with Empower.
Payroll
- Back up and support the payroll team as necessary for bi-weekly processing, including reviewing timesheets, deductions, and benefits-related adjustments.
- Audit the feed between benefits and payroll systems and correct errors before they hit a pay run.
- Help resolve payroll questions that touch benefits, like leave pay or deduction corrections.
Experience/Education
- 5+ years of hands-on benefits administration experience.
- Some direct payroll experience is required.
- Working knowledge of ACA, ERISA, HIPAA, and COBRA.
- Experience working across a multi-site or decentralized HR structure preferred.
- A strong communicator who can explain benefits clearly to people with very different levels of understanding.
- Willing to travel to field sites as needed.
- Careful and organized when handling sensitive employee data.
- Solid Excel skills for reconciliation and reporting.
- Experience with UKG Ready for payroll or time and attendance (preferred).
- Experience administering a 401(k) plan through Empower (preferred).
- Experience with SAP SuccessFactors, particularly Employee Central (preferred).
- Background supporting a field-based workforce, such as energy, utilities, construction, or similar.
- PHR, SHRM-CP, or CPP certification a plus.
