Who we are looking for
The Country Diary Management Specialist drives optimal HCP engagement and elevates the Customer Experience by ensuring efficient, data-driven management of diaries and traffic. The role maximizes field productivity through strategic traffic prioritization, precise scheduling, and continuous alignment between Front Office Systems and HCM, while leading change initiatives that enhance agenda performance and operational excellence across the country.
Key responsibilities:
- Traffic Management
- Balance traffic quantity vs. quality across shop clusters, ensuring optimal workload distribution.
- Guide and influence traffic prioritization activities led by the Marketing team.
- Monitor traffic flows and implement improvement actions to align with business priorities and resource availability.
- Diary Optimization
- Ensure full alignment of working hours between FOS and HCM.
- Lead scheduler management to maximize productivity and customer coverage.
- Create additional diary capacity by collaborating with HR and Field teams to improve shift allocation, flexibility, and efficiency.
- Own and manage the double-booking process, ensuring minimal overlap and clear prioritization.
- Steering & Change Management
- Lead and drive adoption of diary management and scheduling projects to achieve targeted agenda KPIs.
- Act as the change agent for process optimization and system enhancements related to diary performance.
- Steer the sales team to push agenda performance and meet defined scheduling efficiency targets.
- Ensure clear, structured, and consistent communication routines, such as the daily “Good Morning AM” touchpoints.
- Stakeholder Management
- Build strong cross-functional collaboration with key national stakeholders:
- Country Marketing (for traffic and campaign planning)
- Country Sales Team (for performance steering and execution)
- Country Retail Training Team (for capability development)
- Country HR Team (for workforce scheduling and resource planning)
What you’ll need
- Max 2 years of experience in diary / traffic management, sales operations, or business planning roles, ideally in a retail, healthcare, or customer-centric environment.
- Project management and change leadership skills.
- Excellent communication, stakeholder management, and analytical abilities.
- Proficiency with scheduling tools, CRM systems, and MS Office (especially Excel).
- Ability to translate data insights into actionable business improvements.
- Fluent in English; Fluent in Dutch or Fluent in French
