Job Summary
Provide high-quality, intelligent, administrative support for the Barings BDC team. The level of support varies by leader, but most include processing expenses, travel planning, and ownership of necessary communication for employees. The workload will frequently require flexibility outside of core hours, depending on the team's requirements and demands. The material you will be handling is often likely to be highly confidential and will require the utmost care and attention in the way it is dealt with.
Primary Responsibilities
This position is responsible for administrative support including, but not limited to:
- Facilitate information flow, including email, voicemail, mail, other messages, and key reports promptly;
- Proactive management of calendar and time;
- International & domestic travel arrangements and expense preparation;
- Coordination of meeting preparations and arrangements;
- Maintaining and updating spreadsheets and databases as requested;
- Maintenance of confidential and sensitive information;
- Compliance logs as needed
- Maintain and proactively manage team diaries using Outlook, arranging meetings and appointments, including organizing external lunches and dinners, booking meeting rooms
- Provide assistance to callers in a suitably professional manner. Receiving and passing on messages as appropriate.
Qualifications
- 6 – 10 years’ administrative support experience;
- Advanced knowledge of Microsoft Outlook, Word, Excel, and PowerPoint;
- Able to manage sensitive and confidential information;
- Self-motivated and able to take responsibility;
- Resilient in managing conflicting demands, able to prioritize duties;
- Able to demonstrate initiative and a proactive approach to daily tasks;
- Good interpersonal skills and ability to work independently and as part of a team;
- Able to build good relationships at all levels, internally and externally.
