Job Summary
The Associate Project Manager, Client Services, supports the successful delivery of eDiscovery projects throughout the Electronic Discovery Reference Model lifecycle. Working closely with Project Managers, clients, and cross-functional teams, this role coordinates project activities, monitors timelines and deliverables, maintains accurate documentation, and helps ensure that projects are completed accurately, on schedule, and in accordance with client requirements and Epiq’s quality standards.
The successful candidate will be highly organized, client-focused, and comfortable managing multiple priorities in a fast-paced, deadline-driven environment. This position provides an opportunity to further develop expertise in eDiscovery project management, legal technology, client relationship management, and global service delivery.
Key Responsibilities
Project Coordination and Delivery
- Support eDiscovery projects from initiation and planning through delivery and closure.
- Translate client requirements into clear, actionable tasks and operational work requests.
- Track project milestones, deliverables, timelines, dependencies, and potential risks.
- Coordinate with internal teams to support data intake, processing, hosting, document review, productions, and other eDiscovery activities.
- Maintain accurate and up-to-date project plans, status reports, workflow records, and supporting documentation.
- Assist Project Managers with resource coordination, project forecasting, deadline management, and project closeout.
- Monitor project progress and proactively identify or escalate issues that may affect quality, scope, or delivery timelines.
- Support continuity of service by providing clear project updates and effective handoffs between teams and shifts.
Client Service and Communication
- Serve as a reliable point of contact for clients and internal stakeholders, providing timely, clear, and professional communication.
- Support client onboarding, project kick-off meetings, and ongoing engagement activities.
- Proactively communicate project status, upcoming milestones, risks, dependencies, and changes in requirements.
- Respond promptly to client inquiries and coordinate with the appropriate internal teams to support timely resolution.
- Escalate project risks, service concerns, or client issues to the Project Manager or relevant leadership when required.
- Build trusted client relationships through responsive communication, attention to detail, and consistent service delivery.
- Demonstrate a client-first approach while managing expectations and maintaining professional standards.
Quality and Operational Excellence
- Verify that client instructions and project requirements are accurately documented, communicated, and executed.
- Review project reports, work requests, and deliverables for accuracy, completeness, and compliance with established quality standards.
- Follow applicable company policies, information security requirements, client protocols, and eDiscovery best practices.
- Assist with troubleshooting issues involving processed, hosted, reviewed, or produced data.
- Identify opportunities to improve workflows, reduce risk, and enhance operational efficiency and client experience.
- Participate in process improvement initiatives and contribute to the standardization of project management practices.
- Support project financial activities, including matter tracking, invoice review, billing validation, and reconciliation, as required.
Collaboration and Stakeholder Management
- Partner closely with Project Managers, Client Services professionals, Operations, Technology, and other supporting teams.
- Coordinate activities across geographically distributed and cross-functional teams to support seamless project delivery.
- Provide clear instructions, timely updates, and complete project information to internal stakeholders.
- Promote effective knowledge sharing and continuity of service across teams and shifts.
- Build collaborative working relationships that support quality, accountability, client satisfaction, and successful project outcomes.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Information Technology, Legal Studies, Project Management, or a related discipline. An equivalent combination of education and relevant professional experience may also be considered.
- Minimum of four years of experience in eDiscovery project management, eDiscovery operations, legal technology, or a related field.
- Working knowledge of the Electronic Discovery Reference Model and common eDiscovery workflows.
- Hands-on experience with Relativity or other eDiscovery processing and document review platforms.
- Experience supporting activities such as data intake, processing, hosting, document review, and productions.
- Experience managing multiple projects, priorities, and deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to communicate effectively with clients and internal stakeholders.
- Strong organizational skills and attention to detail.
- Ability to identify project risks, resolve routine issues, and escalate matters appropriately.
- Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Outlook, and Word.
- Willingness and ability to work during U.S. business hours, which will require working India night shifts.
- Familiarity with project management tools, document management systems, and client reporting processes.
- Experience supporting global clients and collaborating with geographically distributed teams.
- Relativity Certified Administrator (RCA) or another relevant Relativity certification.
- This role requires regular computer-based work and participation in virtual client and internal meetings.
- The position involves managing multiple assignments in a fast-paced, deadline-driven environment.
