Duties & Responsibilities
- Provide day-to-day HR generalist support to employees and managers, responding to questions and guiding stakeholders on HR policies, procedures, systems, and employee lifecycle processes.
- Coordinate and support employee lifecycle activities, including pre-employment processes, onboarding, probation reviews, employee documentation, internal movements, engagement initiatives, and employee exits.
- Support employee relations matters by gathering relevant information, maintaining accurate documentation, advising on established policies, and escalating sensitive or complex cases to the appropriate HR Business Partner or HR leader.
- Maintain awareness of Malaysian employment legislation and country-specific requirements, helping ensure that HR practices, employee records, and operational processes remain compliant with local laws and company policies.
- Partner with Compensation and Benefits, Learning and Development, Talent Acquisition, HR Operations, Payroll, and HR Technology teams to deliver coordinated and consistent HR services.
- Support employee engagement activities by coordinating programs, reviewing employee feedback, tracking participation, and recommending practical improvements to the employee experience.
- Maintain accurate and confidential employee information in the HR management system, prepare routine reports and HR metrics, and use data to identify trends, risks, or opportunities for process improvement.
- Identify opportunities to simplify and improve HR processes by using HR technology, automation, and approved AI tools responsibly, while maintaining data privacy, confidentiality, and appropriate human oversight.
Knowledge, Skills & Abilities
- Working knowledge of HR generalist practices, HR operations, employee relations, employee engagement, onboarding, and exit management.
- Strong written and verbal communication skills, with the ability to explain HR information clearly and build effective relationships with employees, managers, and cross-functional stakeholders.
- Sound problem-solving and critical-thinking skills, with the ability to evaluate information, recognize potential risks, and recommend practical solutions within established guidelines.
- Strong organizational and task-management skills, with attention to detail and the ability to manage competing priorities independently with minimal supervision.
- Proficiency in HR management systems and productivity tools, including Microsoft Office. Experience with Workday is preferred. An interest in using approved generative AI tools, such as ChatGPT, to improve productivity and service delivery is highly valued.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related discipline, or equivalent relevant professional experience.
- Typically 2–3 years of experience in an HR generalist, HR operations, employee services, or HR Business Partner support role.
- Professional proficiency in written and spoken English and Bahasa Malaysia is required.
- Proficiency in Mandarin Chinese or Thai is an advantage, particularly when supporting employees and stakeholders across Southeast Asia.
- Working knowledge of Malaysian employment legislation and country-specific HR regulations is required. Exposure to employment practices in Thailand, Indonesia, Vietnam, or Singapore is an advantage.
- Experience supporting HR processes in a regional, multinational, shared-services, or matrixed working environment is preferred.
- Experience using an HRMS or HRIS is required; Workday experience is preferred.
