About the Role
As Associate Chief of Staff in the CEO & COO Office, reporting to the Group Chief of Staff, you will help operate the executive engine that keeps Cyncly focused, aligned and moving at pace. You will support the operating rhythm of the CEO, COO and Executive Leadership Team (ELT); help drive the annual strategic planning process from insight to operating plan; and take ownership of selected CEO/COO priorities from problem definition through to measurable impact. 

This is a hands-on strategy and operations role for a high-potential operator who combines analytical rigour, executive communication, commercial judgement and strong follow-through. You will work closely with Business Unit General Managers and functional leaders across a global matrix organisation, producing executive-ready insight and materials while helping convert decisions into action. You will also be expected to use AI and automation practically — not as a side interest, but as a way to raise the quality, speed and scalability of how the executive office works.

Key Responsibilities

Executive ‘Rhythm of Business’ 

  • Help design, operate and continuously improve the CEO, COO and ELT rhythm of business, ensuring the right topics are discussed at the right cadence with the right level of preparation. 
  • Shape agendas, pre-reads and decision materials so executive discussions are focused, evidence-based and action-oriented. 
  • Track decisions, actions and follow-through across executive forums, ensuring owners, deadlines and escalation paths are clear. 
  • Coordinate quarterly Board preparation, including gathering, producing and reviewing inputs from across the group. 
  • Support OKR development and reporting across Business Units and functions, consolidating inputs into a single, trusted performance view for the executive team. 
  • Own planning and agenda development for selected in-person ELT offsites, ensuring sessions are purposeful, well-prepared and outcome-led.

Strategic planning and analysis 

  • Support the analytical and process engine of Cyncly’s annual strategic planning cycle, helping translate strategic priorities into financial, operational and execution plans. 
  • Build and maintain models, frameworks, templates and workshop materials that enable high quality planning, trade-off discussions and Board-level decision-making. 
  • Develop robust analyses and business cases across commercial, product, go-to-market and operational topics, turning data into prioritised recommendations. 
  • Maintain a single source of truth for strategic priorities and initiatives, including charters, milestones, owners, dependencies, benefits, risks and confidence levels. 
  • Work with Finance and functional teams to connect strategic ambition with measurable operating outcomes.

Driving priorities & cross-functional execution 

  • Take selected strategic and tactical priorities from the CEO and COO from problem definition through to execution: scope the work, structure the analysis, mobilise stakeholders, unblock issues and drive decisions. 
  • Lead or coordinate cross-functional initiatives that sit between Business Units, functions or leadership forums, especially where ownership is ambiguous or momentum is at risk. 
  • Partner with GMs and functional leaders to keep the organisation focused on outcomes. 
  • Anticipate blockers, surface trade-offs early and ensure issues are escalated with clear options and recommendations. 
  • Build lightweight operating mechanisms that improve accountability without creating unnecessary bureaucracy.

Communications & stakeholder management 

  • Produce clear, concise and executive-ready materials, including decision papers, Board inputs, ELT updates, workshop materials and follow-up communications. 
  • Translate complex or fragmented inputs into structured narratives that make decisions easier for senior leaders. 
  • Help maintain alignment between the CEO, COO, ELT, BU GMs and functional leaders by ensuring priorities, decisions and actions are clearly communicated. 
  • Build trust across the organisation through strong judgement, discretion, responsiveness and high-quality follow-through. 
  • Act as a connector across teams, helping ensure information flows to the right people at the right time.

AI-enabled ways of working 

  • Identify practical AI and automation opportunities across the processes you touch, prioritising use cases by impact, feasibility and repeatability. 
  • Use AI tools to improve the speed and quality of analysis, synthesis, meeting preparation, project tracking and executive communication. 
  • Build reusable templates, workflows and knowledge assets that make the CEO & COO Office more scalable. 
  • Help raise the bar for AI-enabled working across the organisation by role-modelling thoughtful, secure and high-quality use of AI in day-to-day work.

Candidate Profile

Must-haves 

  • 3+ years at a top-tier management consulting firm or equivalent high-performance environment, with a track record in strategy execution and operating improvement. 
  • Strong structured problem-solving skills, with the ability to break ambiguous problems into clear workplans, analyses and recommendations. 
  • Commercial and financial acumen, including the ability to connect strategy, operating plans, KPIs and business performance. 
  • Advanced analytical capability, including spreadsheet modelling, data interpretation and data storytelling. 
  • Excellent written, verbal and visual communication skills, with the ability to produce executive ready materials under time pressure. 
  • Strong programme and project management capability, including multi-workstream planning, dependency management, risk/issue tracking and benefit realisation. 
  • Proven ability to influence and build trust across senior stakeholders, functions, geographies and cultures without relying on formal authority. 
  • High judgement, discretion and integrity, with comfort handling sensitive information and operating close to senior leadership. 
  • Bias to action, low ego, resilience and comfort operating in ambiguity. 
  • Demonstrable use of AI tools to improve personal productivity, analytical quality or operating effectiveness.

Nice-to-haves 

  • Experience in B2B SaaS, ERP, design/manufacturing software, or data-rich product businesses. 
  • Exposure to a private-equity-backed environment.
