Role Summary: The primary objective of the Transporter Management System Coordinator is to oversee and optimize the operations of our TMS (Cargo FL), ensuring seamless integration and functionality of the Transporter Management, Inventory Management, and Packing Material modules.
Key Responsibilities:
This role involves planning, system optimization, data analysis, and cross-functional collaboration to improve logistics efficiency, reduce costs, and enhance the supply chain's operational effectiveness using TMS.
Upgrading the system as per business requirements and aligning the same with the service provider.
Providing data driven insights to stakeholders involved in Forward and Return Journey.
Optimizing inventory management and order management of Packing Material across the network.
Ensuring end to end compliance for TMS and inventory management modules within Cargo fl.
Ensure accurate inventory tracking and management across multiple locations, optimizing inventory levels to meet operational needs without excess.
Inventory Management
PODs are available in TMS for each, and every invoice assigned to transporter, if not highlight to Transporter Manager.
Cancel the DN in TMS as per SAP/LEA.
In the Invoice Bridge/Manager Returns Module, Check the Transporters LR are available correctly.
Return IDs for defective Articles/Stock Transfers for Bangalore and RWHs are created.
LC prices are updated as per SAP in Product Master.
New products are added from SAP.
Ensure Packaging Inventory Management Module implementation in all new site before go-live.
Check invoicing and e-waybill compliance through Cargo FL.
Packing Material Management
In case of Packing Material Inventory depletion highlight to relevant stakeholders.
Checking Indent raised to inventory provided to the floor team is as per the Indent qty released.
Ensure Packaging Material Module implementation in all new site before go-live.
Support
Creating User IDs for new users and disabling user which are available in the system now.
Send Welcome kit or change password for stores.
Assist stores with issues relating to uploading the packing list.
Weekly meetings with TMS team to align with the bugs and issues faced. Check relevant rights are provided for each user.
Providing end to end assistance for new areas of improvements by conducting projects.
Roviding end to end assistance for new areas of improvements by conducting projects.
Intimating TMS users about TMS Downtime and coordinating with TMS team for issues arising during downtime.
Refresher trainings for uploading packing list in TMS to PAN India stores cluster wise.
Intimating TMS users about Clear tax Downtime, via mail to plan creating the E-waybill in TMS accordingly.
SOP to be updated and created as per new process.
Transporter Management
Check all the Transporters APIs-Track API, POD API are working fine.
Change transporter or cancel Transporters LR as per the new transporter assigned in LBX.
Correct Bad data output from TMS and adding the new pin code information in TMS.
Time In and Time out information is correctly added at security gate.
Resolve transporter related issues like Generating Transporters LR/ Address miss for consignee/Pin code.
TAT to be as per transporters Agreement, if imputed wrong by the system to be corrected and highlighted to the respective transporters SPOC.
Monitoring Automatic transporters assignment is working as per logic.
On boarding new transporters in TMS as per business requirements.
Checking UFO information is correctly outwarded by the system.
Rate card is updated as per new contracts.
Key Performance Indicators:
The KPI for a TMS Coordinator include metrics such as freight cost savings, carrier compliance, reflecting efficiency, cost control with respect to packing Material and inventory coordination with transporters. Ensure development is as per agreed timelines.
Organizational Relationships:
Internal: Operations Team, Planning Team and Finance Team.
External: Carriers, 3PL Service Providers and other vendors.
Qualifications & Skills:
Bachelors degree in supply chain management, Logistics, Business
Administration, or related field.
Minimum of 2 years of experience in logistics, supply chain management, or a related role with a focus on transportation and inventory management systems.
Strong understanding of SAP, ERP systems, and data analytics tools. Excellent analytical, problem-solving, and decision-making skills.
Proven ability to manage cross-functional projects and teams.
Effective communication and negotiation skills.
Knowledge of Microsoft Tools: Excel, PowerPoint and Bi (optional).
Prior TMS knowledge is an added advantage.
