We are looking for a talented Administrative Assistant III to join our team in Guarulhos, SP | CBL on a 6-month fixed-term contract.

In this role, you will make an impact in the following ways: 

Key Responsibilities:

  • Monitoring/Tracking/Follow-up of imported materials and invoices during business hours, on a hybrid schedule at the Cummins Inc. plant in Guarulhos, São Paulo, for a minimum period of 6 months, renewable as needed.
  • Monitor the progress of shipments of imported and domestic materials, ensuring that planned parts are shipped according to schedule and arrive at Cummins on time to meet production plan requirements in accordance with the country’s established regulatory requirements.
  • Resolve customs clearance issues to ensure the best possible clearance performance for both air and sea shipments.
  • Follow up with carriers, freight forwarders, trade partners, and plant teams across all regions—the Americas, Europe, and Asia—to ensure that shipments comply with documentation requirements;
  • Support the Materials Planning team with corrections to air and sea shipment documentation to ensure customs clearance as quickly as possible;
  • Follow up on imported and domestic parts within the item’s lead time (at the time of shipment and in accordance with mandatory documentation);
  • Follow up with suppliers. Be prepared to work with countries such as the U.S., Mexico, Europe, India, China, and Japan;
  • Monitoring, completing, and updating shipment data and documents to meet production line requirements within the planning horizon;
  • Analyzing the list of critical parts and parts required to meet the short-term production plan or as directed by the materials team;
  • Following up on orders placed to ensure on-time delivery and quantity compliance with the schedule predefined by the Cummins planner, and updating order dates in the system as needed for rescheduling;
  • Attend alignment and follow-up meetings regarding materials and parts shipments with suppliers identified on the critical list to ensure proper execution of the plan to meet Cummins’ needs;
  • Generate and manage reports to support planners’ analyses and monitor the area’s KPIs;
  • Filling out and requesting air freight in the system, as directed by the planner and based on the selected quote, when necessary.

​Materials Planning System Utilization - Uses the materials planning system to manage supply and demand plans taking long-term corrective action on exception messages and other alerts based on root cause analysis; occasionally refers to adhoc tools such as Excel, Access, TOAD, OMS, etc. in performing problem solving, while leveraging the materials planning system as the primary tool in day-to-day operations. 
​Plan for Every Part (PFEP) - Uses PFEP in planning, designing, and management of systems and processes within a facility to ensure delivery of right part at the right time in the right quantity to the right place, which in turn guarantees smooth operations; applies PFEP principles on the end to end supply chain with particular attention to the relationships between master data management, materials planning parameters, engineered material flows, transport management, and warehouse management. 
Inventory Management and Optimization - Uses analytics and algorithms to determine the optimal level of inventory investment across the end-to-end supply chain within specific constraints (warehouse space, customer delivery, etc.); provides guidance and expertise on planning parameter refinement; develops inventory strategies to support Cummins' strategy and not just a business unit strategy. 
Materials KPI Management - Operates in relation to recent or historical outputs as compared to expectations of the organization to determine next steps to drive improvement; assesses gaps to the supply chain performance against the expectation of achieving target deliverables; interprets KPIs to understand end-customer impact; strategically balances trade-offs to influence one KPI while minimizing the impact to others. 
Network Master Supply Planning - Uses statistical analysis and collaborates with other disciplines to provide a long term view of customers demand, and ensures the supply plan is aligned with the demand plan; balances supply and demand in a manner that achieves the financial and service objectives, while stabilizing the supply chain and optimizing the supply chain tensions.

Education, Licenses, Certifications: 

  • High school diploma.
  • Currently pursuing or completed a degree in Business Administration, Logistics, International Trade, Engineering, or related fields.
  • Advanced English proficiency for global interactions.
  • Availability to work on-site three times a week in Guarulhos.

Experience: 

Minimum experience in the areas of Supply Chain, Demand Planning, Materials, International Trade, or Purchasing.
