Job Summary:

The role of the Assistant Project Manager for Development is multi-faceted, providing direct support to the VP of Development, the development team and to several projects in the New York Metro area through all of the facets of project development, from pre-construction, through construction and finally, sales and leasing. The Assistant Project Manager will be involved in coordinating and managing all tasks relating to the Project, including but not limited to: the day-to-day operation of team’s activities, construction administration, information gathering and monthly reporting.  Tasks will also involve project accounting, contract preparation, payment application processing, schedule preparation, sales and marketing.

Responsibilities: 

  • Support VP of Development:
    • Arrange and assist in all project meetings.
    • Record and Distribute all meeting minutes.
      • Inclusive of tracking deliverables and follow up
    • Interact with asset management, accounting, the investments team, and the RXR Executive team.
  • Construction Responsibilities:
    • Responsible for all construction incoming and outgoing correspondence.
    • Set up files for Project and maintain all contractors’ files.
    • Set up, maintain and administer spreadsheets, databases and shared drive Project files.
    • Assist in preparation, distribution, tracking and receipt of construction bid documents.
    • Assist in preparation of construction contracts and purchase orders.
    • Assist in preparation of project construction schedules.
    • Assist in processing of Contractor and vendor Payment Applications and Invoices.
    • Extensive contact and coordination with consultants, contractors and vendors.
    • Maintain and manage insurance compliance for consultants, contractors and vendors and provide in-force insurance certificates to Construction Accounts Payable and others as required.
    • Scan all permits, inspection certificates, electrical underwriting certificates and certificates of occupancy and maintain hardcopy archives file and database.
    • Keep record of all drawings and documents for Project.
    • Maintain plan files and organize to insure building plans remain current and maintain tracking index/files.
    • Maintain and update vendor contact lists.
    • Interact with project managers, field personnel, and accounting department.

  • Reporting Responsibilities:
    • Assist in preparation and distribution of monthly reporting, including reports to investors and RXR senior management.
    • Create spreadsheets as requested for use by Project Executive, Asset Management and Construction Accounting.

Project Management: Effective at providing direction on projects from start to finish while clearly communicating goals and timelines. -Effective at maintaining forward trajectory on a project, across all team members, by developing meeting agendas, goals and follow-ups.
Expertise in scoping, interviewing, leveling, selecting and negotiation the appropriately skilled consultants and construction team to execute business plan.

Budgeting: Ability to define appropriate budgets for various elements and phases (entitlements vs. pre-dev design phases vs. construction) and refine, monitor and manage to the budget as project advances through phases. Critical evaluation of budget and trends to identify needed re-balancing and modifications. Mastery of E-Builder and RXR reporting needs.

 Proforma Interfacing:  Interface with IMG to manage underwriting inputs and analyses. Understanding of inputs/outputs/variables of a successful project proforma.

Entrepreneurial: Creative and resourceful in identifying and implementing new opportunities and approaches to negotiations, project plans, and business procedures.

Problem Solver: Navigates complex, and potentially contradictory, information to effectively assess issues and solve problems. Asks the right questions to analyze situations.


Knowledge Areas

  • Microsoft Office Suite, especially Excel and PowerPoint required.

Education and Experience

  • Bachelor’s Degree
  • 1-5 years’ experience in corporate real estate with an emphasis on project coordination, information gathering and reporting.   
  • Preferred experience includes financial analysis or design and construction project management.        

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. Bonus eligible.

$85,000$100,000 USD
