As a salary-exempt associate primarily stationed at the jobsite office, working hours may fluctuate from week to week (including some work after hours, on weekends or during holidays). The salary is intended to compensate for all hours worked.
The position is also intended as a training ground for individuals to gain the experience and knowledge required to become a Project Manager.

RESPONSIBILITIES

PRECONSTRUCTION
  • Willingly participate in preconstruction efforts as directed by Sr. leadership. Including but not limited to:
  • Bid solicitations
  • Quantity surveys and takeoffs
  • Site surveys and logistics planning
  • Scope review and bid leveling
  • Safety planning
  • Scheduling
  • General conditions estimate
 
 FINANCIALS
  • Assist Project Manager with review of project proposals or plans to determine time frame, financial objectives, staffing requirements, and allotment of available resources during various phases of the project.
  • Has good understanding of general conditions cost and 2-16 divisions.
  • Assist Project Manager with writing thorough scopes of work for each division.
  • Assist Project Manager with managing buyout process from Precon Dept turnover to execution of all subcontracts.
  • Assist Project Manager with negotiating subcontractor schedule of values (SOV) to ensure that they include a high level of detail, align with the project schedule, and to ensure KL and client’s best interest are served.
  • Develop a clear understanding of the KL monthly financial reporting process.
  • Assist Project Manager with developing and completing monthly cost projections (Burn).
  • Work closely together with the Project Manager and Project Accountant to perform monthly updates on job to date costs, change orders, pending costs, financial risks, etc. to ensure accuracy via a balanced Indicated Outcome Report (IOR) and Pending Matters Report (PMR).
  • Assist Project Manager with ensuring subcontractor and owner pay requisitions are produced accurately and timely by KL SOP deadlines (Monthly Accountability Calendar).
  • Maintain tight control over the change management process, utilizing Procore’s Change Events tool to track and process potential cost items.
 
SCHEDULING
  • Assist Project Manager with coordination of effort with project team and subcontractors to create the baseline schedule.
  • Assist Project Manager to ensure updates are performed at minimum bi-weekly intervals.
  • Ability to understand the P6 schedule logic, forecast possible issues/pitfalls, and identify opportunities to improve performance and the overall outcome of the project. This may include, but is not limited to:
    • Procurement of materials sooner than shown to ensure availability when needed.
    • Suggesting alternates for finishes that do not require the building to be under AC.
    • Re-sequencing construction activities without changing durations.
    • Start work earlier than shown, regardless of float.
 
QUALITY CONTROL/BBB
  • Possess thorough understanding of KL’s Building Better Buildings Program (BBB).
  • Assist the Project Manager and Superintendents with establishing a clear plan and deadlines.
  • Assist in monitoring progress to ensure full compliance with the BBB program.
  • Support the efforts of field staff in holding subcontractors accountable to their requirements and responsibilities to the BBB program.
 
SAFETY/SECURITY/CLEANLINESS
  • Possess a thorough understanding of KL’s Health and Safety Program. Relentlessly enforce all requirements to ensure compliance with jobsite safety and security.
  • Always be alert and aware of safety conditions and associated risks.
  • When feasible, walk with KL Safety Dept personnel during weekly inspection.
  • Support the efforts of field staff and safety personnel by enforcing KL SOP regarding jobsite safety and cleanliness. Hold subcontractors accountable to performing daily cleanup and contributing to composite cleanup efforts as required by contract.
 
 
ADMINISTRATION & COORDINATION
  • Assist leadership with preparation/presentation of the Business Evaluation Tool Meeting (BET).
  • Thoroughly review and understand the terms in the prime contract agreement and how they apply to each situation that may arise (e.g., order of precedence, change orders, RFI/Submittals response time, claims for time extension, liquidated damages, etc.)
  • Participate with Legal Dept Review to ensure complete understanding of prime contract.
  • Work together with project leadership to establish work plan, budget and staffing for each phase of project and arrange for assignment of project personnel.
  • Assist Project Manager with coordination of Project Setup Meeting with all required participants to ensure a smooth and timely project start.
  • Manage the Master Compliance Tool to ensure all COIs, Bonds, OCIP/CCIP, etc. paperwork is up to date and that no subcontractors start working on-site until all requirements are met.
  • Assume direct oversight of administrative responsibilities, including, but not limited to: RFI’s, Submittals, Drawings, and Meetings management in Procore.
  • Work closely with Safety Dept. to effectively manage safety per KL Health and Safety Program from commencement through completion.
  • Work closely with Lead Superintendent to coordinate all QC efforts to ensure full compliance with KL’s Building Better Buildings Program.
 
STAKEHOLDER RELATIONS
  • Build effective relationships with customers, design team, subcontractors, suppliers, and user groups that reflect and support company core values and meets or exceeds the customer’s expectations.
  • Continuously maintain client relationships with the goal of repeat, profitable business.
  • Establish and maintain a collaborative and cooperative relationship with design team.
  • Effectively manage trade partner relationships to ensure fairness, accountability and to foster a teamwork environment.
 
CLOSEOUT
Responsible for the following:
  • Establish a comprehensive list of closeout documents required by each subcontractor and the project as whole (warrantees, guarantees, as-builts, O&M manuals, etc.)
  • Secure all closeout documents. Organize into a complete package as required by ownership, either electronic, hard copy, or both.
  • Coordinate and document owner commissioning and training on operation of all systems, equipment, etc.
 
TRAINING AND DEVELOPMENT
  • Foster effective team-building through recognition, capitalizing on team member strengths, and improving on weaknesses.
  • Encourage and facilitate Positive Workplace Committee (PWC) team building events.
  • Effectively manage, mentor, and train the Project Engineer.
  • Lead and conduct weekly One-on-One meetings with Project Engineer.
  • Willingly and actively participate in all mandated role specific and corporate trainings.
  • Establish clear goals and meet agreed upon deadlines with supervisor during annual performance review.
  • Proactively assist with on-boarding/training opportunities for new hires in a similar role.
  • Participate in company activities and functions whenever possible. 

Skills Required

  • Mastery of Project Engineer skills and responsibilities
  • Proficiency in Procore (RFIs, Submittals, Drawings, Meetings, Change Events)
  • Understanding of Primavera P6 schedule logic and ability to forecast schedule issues
  • Knowledge of general conditions cost and 2-16 divisions
  • Ability to perform quantity surveys, takeoffs, bid leveling, and site logistics planning
  • Strong negotiation and conflict resolution skills
  • Ability to assist with monthly cost projections, financial reporting, and buyout management
