Assistant Operations Manager

Key Responsibilities:

1. Procurement Support:
   • Assist in the development and implementation of procurement strategies to ensure timely and cost-effective acquisition of materials, equipment, and services.
   • Coordinate with project managers and other stakeholders to understand procurement needs and requirements.
   • Help prepare and issue requests for proposals (RFPs), requests for quotations (RFQs), and purchase orders (POs).
2. Supplier Management:
   • Identify and evaluate potential suppliers based on quality, cost, and delivery performance.
   • Assist in negotiating terms and conditions with suppliers to secure favorable pricing and delivery schedules.
   • Maintain positive relationships with suppliers and manage supplier performance to ensure compliance with contractual agreements.
3. Documentation and Reporting:
   • Maintain accurate and up-to-date procurement records, including supplier contracts, purchase orders, and delivery schedules.
   • Prepare and distribute procurement reports to senior procurement managers and project teams to provide updates on procurement status, costs, and issues.
   • Assist in tracking procurement expenses and variances against budgeted amounts.
4. Inventory Management:
   • Monitor inventory levels to ensure adequate supply of materials and equipment for ongoing projects.
   • Coordinate with warehouse and logistics teams to manage the receipt, storage, and distribution of procured items.
   • Assist in conducting regular inventory audits to ensure accuracy and compliance with inventory management policies.
5. Compliance and Quality Assurance:
   • Ensure that all procurement activities comply with company policies, procedures, and relevant regulations.
   • Assist in the review and approval of supplier quality assurance plans to ensure materials and equipment meet project specifications.
   • Conduct supplier audits and assessments to verify compliance with quality and performance standards.
6. Continuous Improvement:
   • Identify opportunities for process improvement and implement best practices in procurement and supply chain management.
   • Participate in continuous improvement initiatives to enhance efficiency, accuracy, and cost-effectiveness of procurement activities.
   • Stay updated on industry trends, market conditions, and advancements in procurement and supply chain management.

Qualifications:

• Bachelor’s degree in supply chain management, Business Administration, or a related field, or equivalent work experience.
• 2-4 years of experience in procurement, supply chain management, or a related role.
• Strong understanding of procurement processes, methods, and best practices.
• Excellent organizational, communication, and interpersonal skills.
• Ability to work independently and collaboratively in a fast-paced environment.
• Proficiency in Microsoft Office Suite; familiarity with procurement and inventory management software is a plus.
• Strong analytical and problem-solving skills.
• Commitment to maintaining high quality and compliance standards.
