Founded in 2022, we've quickly become known for our premium quality, lightning-fast turnaround times (7-10 days), and innovative approach to transforming spaces through custom signage. We're experiencing rapid growth and need a tech-savvy Virtual Assistant to help optimize our operations and keep our systems running smoothly.
Position Overview
We're seeking a detail-oriented Virtual Assistant who bridges the gap between IT support and operations management. This role is perfect for someone who loves solving technical problems, optimizing systems, and ensuring everything works seamlessly behind the scenes. You'll manage an IT to-do list populated by our executive team and sales people, working through tasks ranging from error fixes to new feature implementations and system modifications.
Primary Responsibilities
System Management & Technical Support (60%)
- Maintain, troubleshoot, and optimize our Zoho One ecosystem including: Zoho CRM, Zoho Cliq, Zoho Mail, Zoho Flow, Zoho Marketing, and other Zoho One applications
- Quickly identify and fix technical issues across all our essential systems
- Ensure smooth data flow between platforms (Zoho, Shopify, Chekkit, Qwilr, Slack)
- Create and maintain automation workflows using Zoho Flow to reduce manual work
- Assist sales team and operations staff with technical questions and system usage
E-Commerce & Shopify Management (25%)
- Update product listings, collections, and pricing in Shopify
- Create and manage industry-specific and themed sign collections
- Set up, configure, and troubleshoot Shopify apps
- Resolve Shopify errors and functionality issues
- Make adjustments to improve user experience and conversion
Templates & Documentation (10%)
- Create and update professional templates in Qwilr
- Maintain clear documentation for systems and workflows
- Update SOPs as systems evolve
- Develop guides to help team members use systems effectively
Social Media Support (5%)
- Assist with organizing and scheduling social media content
- Help maintain consistency across Instagram, Facebook, and other platforms
- Monitor basic performance metrics
Daily Workflow Most of your daily work will involve managing an IT to-do list where the executive team and salespeople add tasks including:
- System errors and bugs to fix
- Ideas for new features or improvements
- Modifications and adjustments to existing systems
- Optimization opportunities
As you settle into the position and company, you'll gain more autonomy in prioritizing and managing these tasks.
Required Qualifications
Technical Skills (Must-Have) ✅ Expert-level proficiency in Zoho One suite (especially CRM, Flow, Mail, Cliq, Marketing) ✅ Strong experience with Shopify administration and troubleshooting ✅ Comfortable working with multiple software platforms simultaneously ✅ Basic understanding of automation and workflow creation ✅ Problem-solving mindset with ability to troubleshoot independently

Work Details
