Communications Delivery and Optimisation is a subset team within Global Platform Solutions (GPS) Marketing and Engagement. About the role
We are looking for a passionate and experienced Assistant Document Manager to work within a small but dynamic team. The successful candidate would be responsible for helping to update the accuracy, version control and production of regulatory documents across a wide variety of business function documents. This will include the central management of our templates for Plan Literature, our wider Terms and Conditions, Personal Investment, Adviser, and Corporate and Trust documentation.
In addition to this central management, the successful candidate would be responsible for ensuring they make timely amends that are sent to the correct stakeholders via Workfront for approval. While many documents are based around a standard template, for some larger clients or functions they may be more complex, based around client-specific requirements. The role would include regular liaison with various departments, including GPS Marketing and Engagement, Adviser Solutions, Implementations, Technical and Compliance, Investment Propositions, Tax, Legal and other SMEs.
The role would suit a candidate with previous document production experience.
Key accountabilities
Day-to-day maintenance, updates and version control of document master-templates for member facing documents, including but not limited to:
Standalone manual documents including (but not exclusively): Doing Business with Fidelity, Annual Allowance, Brochures, Factsheets, etc.
Templates ready to be used for production in the document production system (internal and external) including (but not exclusively): Scheme Booklets; Key Features Documents; Your Plan Explained documents, etc.
Creating & maintaining documents
Liaising with agreed key stakeholders for the specific document to gain full sign off: e.g., Pensions Technical, Legal, Compliance, Tax and other personnel within the company to ensure accuracy of material.
Ensuring compliance under the FCA/PRA regulations and DWP disclosure requirements.
Proofing and editing drafts and designs to meet agreed brief.
Liaising with internal and external production teams to support the production of existing documentation for different channels of the business (PI, WI and FAS) that must be reviewed every 6-12 months
Support the delivery of content projects, ensuring outputs are high quality, informative and delivered on time, within brand guidelines and meet the required creation or amends brief.
Support the delivery of stand-alone production activities as required and within tight time frames.
Collaborate with teams that handle automated or - where appropriate - manual production of literature through internal or external design resources. Documents may be produced as printed, post based documents or as PDF documents for web and email distribution.
About you
· Ability to take a full brief from the SMEs, qualify key dates and deliverables and translate these requirements into creative/production briefs to internal colleagues
· Strong focus on quality control, accuracy and attention to detail as part of our quality and process control processes
· Ability to make a positive impact and have good influencing and stakeholder management skills.
· Show high levels of ability and initiative with information finding and problem solving
· A ‘can do’ attitude and high focus on successful project delivery and completion are a must

Skills Required
- Previous document production experience
- Experience using Workfront or similar document approval systems
- Knowledge of FCA/PRA regulations and DWP disclosure requirements
- Strong attention to detail, proofreading and editing skills
- Stakeholder management and influencing skills
- Ability to translate SME briefs into creative/production briefs
- Experience liaising with Legal, Compliance, Tax, Investment and technical SMEs
- Ability to deliver content projects to tight deadlines across multiple channels
