Job Description:
▪ Attend inquiries effectively and professionally made by email, phone
or personal
▪ Maintain a friendly and approachable attitude towards guests and staff/employee
▪ Perform secretarial and document support as necessary
▪ Provides information to assist any concern or refer them to appropriate contact/staff/department either in the organization or elsewhere
▪ Ensure that conference and meeting facilities are cleaned and refreshed before and after use
▪ Arrange transportation and hotel accommodations for Clients and VIP
visitor
▪ Maintain a high level of accuracy and confidentiality concerning financial, employee, sensitive matters, and administrative files
▪ Handling office tasks, such as filing, generating reports and presentations; Create and maintain filing systems, both soft and hard copies
▪ Maintaining comprehensive and accurate records from Administrative and Logistics aspects
❖ Daily, Weekly, Monthly Tracker/Reports
▪ Manages and monitors issuance, request, and other concerns
Locker & Pedestal Management:
❖ Allocation
❖ Removal of NLE and Clean up
❖ Printing of accountability forms
▪ Closely monitoring of Facilities Ticketing Console & Logistics Errands
Facilities Ticketing Console:
❖ Extract
❖ Close
❖ Update
Logistics Errands:
❖ Attend/Extract requests for equipment delivery and retrieval
❖ Transmittal arrangement for day-to-day transaction
❖ Booking Arrangements for day-to-day dispatch
❖ Attend all the daily concerns and the In-Transit issues of those
deployed porters
❖ Real-time status tagging of daily transaction
❖ Delivery/Replacement Transmittal generation and location route should be properly processed diligently
Avoid the below issues:
❖ Has requested but miss out and was not included on the
transaction.
❖ Proper use of transport (Van or Transportify), deciding on
which to use efficiently in terms of cost, delivery time, location
and load capacity.
▪ Ensure that Cash Advance, Petty Cash, and Emergency funds are liquidated in time; reimbursement and liquidation should be processed immediately and should not wait for the funds to deplete to the point no longer suffice to support daily needs.
▪ Responsible for the monitoring and encoding of consumable supplies by real-time updating of the daily consumptions and informing the proper channel/personnel to order when necessary; whereas, 25% of remaining supplies should already trigger replenishment request
▪ Coordination from Admin, Facilities and Logistics Supplier/Vendor Delivery/Pullout and Services

Requirements:
• Proven experience as an Administrative Assistant, at least 6 mos - 1 year relevant experience
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Always demonstrated ability to remain self-motivated
• Willing to extend working hours when needed and can work with less
supervision
• Flexible in a shifting schedule including weekends, holiday and willing to
be in a GY shift
