Wheat State Manor is seeking a dependable, organized, and detail-oriented Administrative & Business Office Specialist to join our team in Whitewater, Kansas. Position: Part-Time AP/Payroll Specialist
Location: Wheat State Manor – Whitewater, Kansas
Compensation: $20.00 per hour
Hours: Up to 20 hours per week
Position Highlights
This part-time position will support Wheat State Manor's administrative, accounting, Human Resources, billing, and operational needs, including:
Accounts Payable & Accounts Receivable
- Process and maintain Accounts Payable and Accounts Receivable activities.
- Assist with invoices, payments, account reconciliation, and financial records.
- Monitor outstanding balances and assist with collections.
- Follow up on past-due accounts and maintain accurate collection documentation.
- Assist with billing functions and ensure information is complete and accurate.
Human Resources & Employee Support
- Coordinate and schedule candidate interviews.
- Assist with job postings and recruitment activities.
- Support new-hire onboarding and employee paperwork.
- Maintain accurate and confidential employee records.
- Assist with Workers' Compensation claims and documentation.
- Assist with Unemployment claims and responses.
- Coordinate and maintain FMLA documentation and tracking.
- Assist with Return-to-Assignment (RTA) management and related employee documentation.
- Provide administrative support to employees and leadership as needed.
Medical Supply Ordering & Purchasing
- Coordinate ordering of medical and operational supplies.
- Monitor supply levels and communicate purchasing needs.
- Work with vendors to place orders and resolve issues.
- Help ensure Wheat State Manor has the supplies necessary to provide excellent resident care.
Billing & CDM Support
- Assist with billing processes and documentation.
- Maintain and update the Charge Description Master (CDM) of record.
- Help ensure charges, services, and related information are entered and maintained accurately.
- Assist with resolving billing discrepancies and maintaining organized records.
Qualifications
What We're Looking For
- Previous experience in accounting, business office administration, Human Resources, healthcare administration, or a related field preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong communication and interpersonal skills.
- Ability to prioritize multiple responsibilities and work independently.
- Proficiency with computers, email, Microsoft Office, and administrative systems.
- Healthcare, long-term care, or skilled nursing experience is a plus.
- A positive, team-oriented attitude and willingness to jump in wherever needed!
