Job Description

The Annual Pay Specialist is responsible for the execution and coordination of global compensation processes within the Shared Business Services (SBS) organization. The role ensures high-quality delivery of Annual Pay activities, including data validation, system coordination, and stakeholder alignment.

The role acts as a key interface between SBS, Total Rewards CoE, and HR stakeholders, supporting the preparation and execution of global compensation cycles.

The Annual Pay Specialist maintains cross-functional capability to support Global Mobility processes as part of a structured cross-skilling model ensuring operational continuity and flexibility.

Main Responsibilities:  

End-to-End Compensation Process Execution

  • Execute and coordinate Annual Pay processes across all phases of the compensation cycle, including preparation, simulation support, proposal, communication and payout activities.
  • Ensure timely and accurate delivery of process steps in line with defined timelines and standards.

Data Validation and Quality Control

  • Validate compensation data to ensure accuracy, completeness, and consistency across systems.
  • Review and reconcile data inputs and outputs, including simulation results and reporting outputs.
  • Identify and resolve data discrepancies.

Simulation and System Coordination

  • Support and coordinate compensation simulations, ensuring data readiness and system accuracy.
  • Work with relevant stakeholders to validate outputs prior to release.
  • Ensure alignment between systems, tools, and process requirements.

Stakeholder Coordination

  • Act as a key point of contact for HRBPs and CoE for assigned activities.
  • Coordinate inputs, timelines, and follow-ups to ensure smooth execution of the compensation cycle.
  • Provide operational guidance on process steps.

Issue Management

  • Handle non-standard cases and resolve operational issues.
  • Escalate complex issues where required.
  • Ensure timely resolution of data or process-related challenges.

Cross-process Support (Global Mobility)

  • Provide operational support for Global Mobility processes during peak periods or as required
  • Support case handling, data updates, and coordination activities related to mobility
  • Collaborate with mobility specialists to ensure continuity of service delivery
  • Maintain working knowledge of mobility processes, tools, and data requirements

Continuous Improvement

  • Identify opportunities to improve compensation processes and data quality.
  • Support standardization and optimization initiatives.
  • Contribute to documentation and SOP updates.
  • Support the development, improvements and updates to SOPs, and their implementation.

Qualifications

Knowledge and Experience: 

Experience:  

  • 3–6 years of experience in HR operations, compensation support, shared services, or data-related roles
  • Experience supporting compensation cycles or similar large-scale HR processes is an advantage
  • Experience working in global or multi-country environments
  • Strong attention to detail and data accuracy
  • Proficient Microsoft Excel and data handling skills

Knowledge

  • Good understanding of compensation processes and HR data structures
  • Knowledge of working in structured, cycle-based environments
  • Understanding of data validation, controls, and reporting
  • Awareness of service delivery concepts (SLAs, timelines, quality standards)

Education

  • Master’s degree in Human Resources, Business Administration, Finance, or a related field, equivalent experience will also be considered

Languages

  • English (Fluent) 

Technical/ Functional skills: 

  • Experience with HR systems (e.g. Workday, compensation tools)
  • Strong Excel skills (data validation, reconciliation, reporting)
  • Ability to manage large datasets with accuracy
  • Ability to coordinate end-to-end process activities
  • Experience handling complex data and stakeholder-driven processes
