The Marketing / Sales Assistant provides clerical and administrative office work such as data processing, document processing, as well as record and file maintenance, supporting the marketing and sales department. The role focuses on the execution of operational processes of a Marketing and/or Sales department, and/or supports a Marketing / Sales Manager or Director.
The Marketing / Sales Assistant role will be positioned in the sales departments where data, documents and information are being processed following standardized procedures. In-depth knowledge of the department and its function is not essential to perform the tasks; a general knowledge of the standard procedures suffices. The Marketing / Sales Assistant can normally quickly familiarize with the relevant procedures and work instructions.
The work is well-defined and standardized. The Marketing / Sales Assistant reports to the team manager.
The Marketing / Sales Assistant role may also include some secretarial and general office duties as appropriate.
Job Description:
· Data, document and information processing
o Receives, classifies, consolidates, and/or summarizes documents and information.
o Processes data and information in various systems / databases according to the relevant work instructions
o Processes invoices, expense statements and other financial documents
o Maintains records or documents and data processed
· Communications
Occasionally contacts customers, suppliers or organization employees outside the immediate work area to exchange information.
· Data assembly
o Assembles relevant data, and compiles information as directed.
o Compiles various regular reports in accordance with standard operating procedures.
· Secretarial duties and other tasks
May perform secretarial and administrative tasks such as:
o Receive and refer visitors and telephone callers.
o Open and distribute office mail. Respond with form letter to routine requests.
o Produce routine emails / documents from specific instructions.
o Maintain appointment calendars, manage appointments, schedules and make travel arrangements
o Set up meetings
o Perform special project duties as assigned
