Right now, manual processes are creating bottlenecks across legal operations, client intake, document management, and administrative workflows,  and they need a technical architect who can spot those gaps and build smart, scalable solutions from the ground up. This isn't a support role — it's a builder role. You'll be empowered to identify inefficiencies, pitch new ideas, and engineer systems that directly impact revenue and operations across multiple business verticals.

✅ Qualifications:

Must-Haves:

• 💻 Strong Technical Foundation– Background in IT, computer science, or web development (Python, web dev, or systems engineering) prior to your AI experience.
• ⚙️ Advanced Automation Expertise– Proven ability to design, build, and maintain complex automated workflows and backend systems.
• 🔒 Data Security & Privacy Knowledge– Strong understanding of data security protocols and privacy obligations, critical for handling sensitive business and client information.
• 📁 Microsoft 365 Proficiency– Comfortable working within Microsoft Outlook, SharePoint, and the broader M365 ecosystem.
• 🤝 High Integrity & Trustworthiness– Given the sensitive nature of data across multiple businesses, being open, honest, and deeply trustworthy is non-negotiable.

Nice-to-Haves:

• 🤖 AI Model Experience (Highly Preferred)– Hands-on experience with OpenAI, Anthropic/Claude, or similar LLM APIs for document and content automation tasks.
• 🔗 Automation Platforms (Highly Preferred)– Working knowledge of N8N, Zapier, or Make.com for building workflow automations.
• 📣 CRM & Marketing Tools (Nice-to-Have)– Familiarity with Klaviyo, GoHighLevel, HubSpot, or Meta platforms for marketing automation.
• 📜 Australian Privacy Act Awareness (Bonus)– Understanding of data privacy and confidentiality obligations in an Australian business context.

Responsibilities of the AI Engineer:

Your responsibilities include:

🛠️ System Design, Build & Maintenance

• Design, build, and manage automated systems and workflows across approximately six different businesses
• Join team calls during onboarding to learn the inner workings of each business, identify workflow gaps, and pinpoint operational pain points AI can solve
• Serve as the primary technical architect responsible for all backend automation infrastructure

⚙️ Workflow Automation & Admin Operations (High Priority)

• Automate end-to-end workflows from initial client request or intake through to document preparation and task completion
• Automate the creation of client briefs and summary documents from existing client information, enabling the team to simply review and direct next steps
• Fully automate document and letter preparation by pulling data from system fields directly into existing templates, eliminating manual entry
• Automate time-costing records to ensure billable time is accurately tracked and recorded
• Automate invoice preparation to replace manual placeholder processes
• Assist in migrating the company's main document storage hub from Leap to Microsoft SharePoint
• Design and automate client intake workflows to replace manual email-based onboarding
• Build document automation templates for standard contracts, agreements, and high-volume documentation

📊 Reporting & Dashboard Creation

• Build customized, high-level CEO-style reporting dashboards tailored to leadership's visibility needs
• Create comprehensive client management and information dashboards across all separate businesses
• Automate matter and status updates so the team stays consistently informed
• Build pipeline reporting dashboards tracking enquiry volume, conversion rates, and matter sources by business area
  

💡 Business Growth & Design Innovation

• Identify new revenue streams and proactively build backend systems capable of servicing those streams
• Actively participate during design phases to solve problems, pitch alternative system architectures, and propose solutions the business may not have considered
• Develop AI-assisted document summaries and review support for routine, high-volume work

📣 Marketing Operations Support (Low Priority)

• Use AI tools to assist with preparing content for email newsletters and automate sending via Klaviyo 
• Set up and manage CRM automations for enquiry tracking, follow-ups, and referral source reporting
• Build automated lead nurture sequences for warm prospects
• Schedule and post social media content on Meta platforms (Facebook and Instagram)

🔒 Data Security & Privacy Management

• Strictly enforce data security protocols to ensure sensitive business and client information is completely protected
• Ensure all systems and automations comply with data privacy standards and confidentiality obligations
• Apply best practices for data handling across all businesses, especially in legal and client-facing contexts
