Status: Full-time, Exempt
Salary: $42,860.36 - $66,836.70 Annually
Location: Remote
Position Summary:
The programming of the Student Conservation Association requires accurate and timely processing of hundreds of public and private funding agreements each year. The Agreements Administrator supports the operational oversight and quality management of SCA’s agreements function, ensuring complex public and private funding agreements are processed accurately, consistently, and in alignment with organizational procedures and compliance requirements. This position serves as a subject matter resource within the Agreements Team and is responsible for workflow coordination, quality assurance, process improvement, reporting, and training support. The Agreements Administrator proactively identifies operational issues, monitors agreement pipelines and compliance requirements, and supports the implementation of standardized procedures and systems improvements.
Working closely with the Senior Manager, Agreements and cross-functional stakeholders, the Agreements Administrator helps ensure efficient agreements operations and continuity across the agreements lifecycle. This position is expected to apply SCA’s Core Values and JEDI principles in daily work, decision-making, and all internal and external interactions.
Roles and Responsibilities:
Agreements Operations & Workflow Coordination
- Coordinate and support the processing, drafting, execution, and modification of assigned public and private funding agreements.
- Monitor agreement workflows, drafting timelines, modification tracking, and operational deadlines.
- Collaborate with internal and external stakeholders to initiate, establish, and fulfill agreements and amendments.
- Manages and maintains modification list for government agencies assigned.
- Assist with operational issue resolution and escalate concerns when appropriate.
Quality Assurance & Compliance
- Review and proofs agreements, sub-agreements, funding documents, templates and clause accuracy to ensure consistency with master or other governing agreement terms.
- Monitor adherence to agreements procedures, template standards, and compliance requirements.
- Maintain working knowledge of federal agency requirements, funding regulations, and Form 424 submission processes.
- Communicate potential issues, delays, compliance concerns, or operational risks to relevant stakeholders.
Systems, Reporting & Process Management
- Creates and maintains contract pipeline dashboards and reports as needed or requested, and helps manage, track and inform on status of pending agreement drafting deadlines and workflow tracking tools.
- Monitor agreements status pipelines and support operational reporting needs.
- Identify process gaps, workflow inefficiencies, and operational trends impacting agreements management.
- Support implementation of systems enhancements and workflow improvements.
Cross-Departmental Coordination
- Coordinate with Billing, Partnerships, Programs, and other departments regarding modifications, de-obligations, and agreement requirements.
- Facilitate communication and operational alignment across departments involved in agreements processing.
- Support timely and accurate completion of funding applications and associated documentation.
Qualifications:
- Associates degree preferred
- At least 2 years of experience in a job-related field or similar experience preferred
- Knowledge of contracts and/or nonprofit environment a plus, including Grants Solutions
- Excellent communication skills: ability to speak and write clearly and concisely
- Excellent organizational skills
- Experience with relationship building and customer service
- Ability to work independently and professionally under pressure
- Ethical and able to handle confidential information appropriately
- Proven analytic and problem-solving ability
- Ability to work in and foster a team environment, especially with peers and cross-departmentally
