Description

The Affiliate Associate is instrumental in bolstering the affiliate program's efforts, playing a vital role in efficiently managing both inbound and outbound promotional activities. This position is central to Food Revolution Network (FRN)'s goal of advancing its mission, focusing on cultivating and enhancing strategic partnerships critical for broadening FRN's reach, impact, and revenue streams. The ideal candidate for this role combines excellent communication skills with a strong inclination towards data-driven decision-making and meticulous attention to detail. They are expected to be highly organized, embody a positive and proactive attitude, and are committed to aligning with FRN's brand values, serving our audience, and contributing to the mission's success.

Additionally, as a part of the Growth Team, the Affiliate Associate is responsible for maintaining and developing external partnerships. This involves building relationships, tracking relationship data, ensuring project timelines are adhered to, and equipping partners with necessary resources for the successful promotion of FRN's work. Candidates should possess excellent communication and spreadsheet skills, a drive to enhance efficiency in internal systems, the capability to articulate step-by-step workflows, and a talent for long-term strategic planning. This role is pivotal in supporting FRN's mission, aiming to expand its reach, increase revenues, and maximize impact. The Affiliate Associate will engage directly with partners, necessitating strong sales and relationship-building skills, alongside a proactive ability to take initiative in fostering and expanding these key partnerships.

This role primarily operates from Tuesday to Friday. However, it will, at times, necessitate working at least 1-4 hours on Saturday and/or Sunday, approximately 10-12 times annually. In weeks where working both Saturday and Sunday is required, the subsequent Friday will be provided as a day off.

Requirements

Core Responsibilities

  1. Affiliate Relationships. Assist in managing and expanding strategic affiliate partnerships, contributing to both the mission and FRN's financial growth.
  2. Inbound Promotions. Support affiliate efforts by facilitating communication with partners, aiding in securing promotional commitments from both new and existing affiliates, and providing marketing resources for successful campaign launches, including providing coverage during occasional weekends.
  3. Outbound Promotions. Support the recruitment, vetting, and implementation of third-party, mission-aligned resources into FRN's promotional schedule and content ecosystem.
  4. Data Tracking and Optimization. Monitor, track, and support the analysis of data for affiliate partnerships.
  5. Technology Innovation and AI Integration. Contribute to the adoption and integration of AI and machine learning technologies to improve affiliate partnership development and management and to optimize FRN's results.
  6. Cross-functional Communication. Maintain clear and prompt communication with partners and FRN team members, enhancing collaboration and ensuring smooth operations across the organization.
  7. Backup the Affiliate Manager. Be prepared to assume the responsibilities of the Affiliate Manager in their absence or during offline periods.

Affiliate Relationships

  • Drive the cultivation and enhancement of new affiliate partnerships by assessing potential collaborators and acknowledging how sharing our initiatives can bolster their brand and influence. Ensure a strong congruence with FRN's values of environmental sustainability, credibility, and respect for people, animals, and the planet.
  • Support the affiliate manager in managing and nurturing relationships with affiliate partners, including active participation in conversations and meetings with both current and potential partners.
  • Thoroughly track contact information, relationship history, and partnership expectations through streamlined processes to optimize joint venture relations with FRN's top partners.
  • Provide complimentary products to partners as requested.
  • Share information about bonus offers for inclusion in their programs, maintaining an "Offers/product links to share with affiliate partners" sheet.
  • Help plan the yearly mastermind with top affiliate partners and organize audience prizes/giveaways for affiliate launches.
  • Manage the Affiliate Health and Wellness Launch Tracker by sending quarterly updates to list members, approving new invitees, notifying partners about conflicting dates, and updating the calendar bi-weekly.

Inbound Promotions

  • Prepare launch Drive folders.
  • Collaborate on proactive updates for the Affiliate Center, including dashboard language, swipe copy, graphics, and more, to enhance the marketing tools provided to affiliates.
  • Assist in the preparation and quality assurance (QA) of all launch pages provided to affiliate partners, and conduct testing for affiliate links and offer URLs to ensure functionality.
  • Manage the custom URL creation process.
  • Offer support for launches, including update mailings, stats tracking, and leaderboard updates, with some weekend availability required.
  • Support in addressing partner inquiries related to offers, assets, links, and promotional materials, acting as a point of contact for affiliate-related communications.
  • Support the affiliate manager in securing promotional commitments from current and existing partners.
  • After the schedule is approved, create docs for all [Affiliate Update Messages] and add them to the appropriate spreadsheet.
  • Review affiliate partner promotions for adherence to FRN standards, FTC regulations, and the FRN Affiliate Program Terms and Conditions, ensuring brand consistency.
  • Review the newsletter folder and forward all launch-specific partner promotions to necessary parties each day during a promo window.
  • Support providing real-time stats to partners and encourage additional sharing (where applicable).
  • At the conclusion of promotional launches, compile and present metrics for review and assessment.

Outbound Promotions

  • Facilitate the vetting process for potential affiliate offers, ensuring they align with FRN's mission and can be effectively promoted through FRN's blog, email, social media, and other channels.
  • Gather and organize promotional materials, including links, swipe copy, and images, to streamline promotional efforts and enhance efficiency and success.
  • Provide the FRN Community Team with up-to-date information to support customer and community inquiries related to affiliate promotions.
  • Assist in selecting brands to feature in FRN blog articles, ensuring all affiliate links are quality-assured and comply with FRN standards.
  • Explore new products and programs that match the FRN audience's interests, assisting in their review and potential incorporation into FRN's external ecosystem.
  • Ensure that all affiliate links, including those in blog articles and email promotions, are regularly checked and updated to maintain accuracy and effectiveness.
  • Support the Affiliate Manager with necessary updates to the Promotions Schedule.
  • When possible, track and organize all terms and conditions for affiliate programs for which FRN is signed up.
  • QA all affiliate links for blog articles at a regular interval.
  • Assist in optimizing and maintaining the FRN physical product affiliate partner index to ensure accurate tracking and efficient management.

Data Tracking and Partner Support

  • Streamline processes for comprehensive tracking of partner contact information, relationship history, and expectations to analyze joint venture relations effectively, including exchanges and balances with FRN's top partners and other external relationships.
  • Utilize Everflow to monitor affiliate partner metrics such as commitments, clicks, leads, and revenues, ensuring detailed tracking for affiliate partnerships.
  • Ensure all partnership department processes and procedures are accurately documented and maintained.
  • Manage FRN's retrieval and providing of W9s when required.
  • Lead the affiliate application process by monitoring new signups, verifying the completeness and legitimacy of applications, and providing input on applicant suitability for the FRN Affiliate Program.
  • Provide essential support to affiliate partners, including login assistance and account updates, and help in communicating updates and information that need to be relayed within the company.
  • Filter (forward or answer) incoming messages to affiliates@ that need to be sent elsewhere in the company.
  • Contribute to the creation and maintenance of a comprehensive guide detailing all tasks related to affiliate management, ensuring alignment with current best practices and knowledge requirements.

Technology Innovation and AI Integration

AI is a rapidly evolving field, and while not all technologies and applications noted below may be immediately applicable, they illustrate potential future contributions to our work. A component of this role involves staying informed on these evolving AI opportunities, ensuring FRN is poised to integrate beneficial advancements aligning with our goals as they become viable.

  • Utilize AI tools to optimize communication strategies, ensuring messages to affiliate partners are personalized, engaging, and effective.
  • Where helpful, apply AI tools to improve the effectiveness of affiliate messages and swipe copy and images, enabling data-driven improvements for enhanced partner engagement.
  • Employ AI tools to identify trends and insights in affiliate marketing, enabling the development of innovative strategies to strengthen affiliate relationships and enhance campaign effectiveness.
  • Explore and implement ways of using AI tools to identify and reach out to prospective affiliate partners.

Cross-functional Communication and Support

  • Efficiently manage a high-volume inbox dedicated to both internal and public-facing communications, ensuring prompt and organized responses.
  • Actively participate in essential meetings, including the weekly Growth Team, Core Team, bi-weekly promotions, and 1:1 sessions with manager, plus ad-hoc meetings and occasional external partner meetings.
  • Collaborate cross-functionally and provide seamless communication across all internal platforms, such as email, ClickUp, and Slack, to maintain clear and effective coordination within the team.
  • Organize team giveaways and gifts, such as AirDoctors, collaborating with the Head of Culture.

Backup the Affiliate Manager

  • Provide support for the Affiliate Manager by covering their responsibilities during their absence, ensuring continuous operation of affiliate management tasks.
  • Monitor affiliate partner metrics, such as clicks, leads, and revenues, to maintain a comprehensive understanding of affiliate performance.
  • Assist in the coordination and management of financial tracking for incoming affiliate partner commission payments, ensuring accurate and timely processing.

Position Skills

  • Proficiency in Google Workspace, CRM software, and affiliate tracking systems.
  • Demonstrated success in project and task management with knowledge of Scrum and Kanban methodologies.
  • Outstanding communication skills, including writing, proofreading, editing, and interpersonal interactions.
  • Basic graphic design and copywriting abilities for promotional content creation.
  • Data-driven with strong analytical and problem-solving skills for strategic decision-making.
  • Keen attention to detail with the ability to efficiently plan and execute tasks.
  • Adaptability and resilience, with the capability to meet deadlines and accommodate flexible work schedules, including occasional weekends, to support varying project needs and international partners.

Work Location

FRN is a fully remote team, with team members in multiple North American time zones. This position may be performed from anywhere, but we strongly prefer North America-compatible time zones, with a required availability from 9 am - 3 pm Pacific Time, Monday through Thursday.

Compensation

$65,000 - $72,000 annual salary, depending on experience.
