Job Description

Administrator - Water Hygiene 

Are you interested in Water Hygiene and Legionella Control? This could be your opportunity to excel as an operational support administrator, as well as playing a vital role in helping our business succeed.

As our company grows and develops, we are ever expanding our teams. We have a great opportunity for an operational support administrator to join our Environment & Safety Division and wear the SOCOTEC badge with pride.

We are looking for a motivated and dependable administrator to provide support to a high quality (UKAS-accredited) water hygiene team that provides legionella risk assessments and other water hygiene services, in a customer-focused manner.  it is key that you are able to work efficiently and effectively as part of a team, as well as having the capabilities to work independently. 

The tasks you will undertake will include (but are not limited to):

  • Manage the database of monitoring tasks and update it in line with new legionella risk assessments.
  • Liaise with the Operations Managers to assist with the scheduling of work and allocation of work tasks.
  • Liaise with site staff to understand and record what work has been undertaken against that planned.
  • Keep tracker spreadsheets and client portals updated with site work completed and reports typed to ensure deadlines are met and invoicing is accurate.
  • Produce monthly client reports to demonstrate their legionella compliance status and SOCOTEC’s operational performance.

Assisting with other administration tasks as required including, but not restricted to:

  • Preparation and issue of client invoices
  • Preparing quotations
  • Issuing reports and sample test results
  • Booking site visits for field based staff
  • Booking accommodation for field staff away on jobs
  • Arranging access cards
  • Preparing Legionella Risk Assessment Reports and associated CAD drawings
  • Other general admin duties as required

Qualifications

To be a successful Administrator you should be able to demonstrate:

  • To be competent in the use of Microsoft Office, particularly Word and Excel.
  • Excellent attention to detail.
  • Experience in administration environments.
  • Good communication skills (both verbal and written).
  • Ability to work well under pressure with a focus on deadlines
