Bamboo Premium Financing is the premium financing arm of the Optiom Group. We help policyholders manage the cost of insurance through flexible payment solutions, and our team handles the full loan lifecycle — from origination through to repayment, default management, and policy reinstatement — in close coordination with insurer and broker partners across Alberta, British Columbia, and Ontario.
The Role
We're looking for a detail-oriented administrator to join the Bamboo team in a role that sits at the heart of our loan operations. You'll be responsible for the timely and accurate processing of loan correspondence, policy maintenance tasks, and client and broker communications — work that directly protects our policyholders and supports the financial integrity of our loan portfolio.

What You'll Do
Mail & Correspondence Management (50%)
- Generate and send loan-related correspondence and registered termination letters in accordance with Bamboo's standard templates and timelines
- Make daily Canada Post drop-offs to ensure timely and reliable delivery of time-sensitive letters
- Follow up on undelivered registered mail and action returned correspondence per our established procedures
- Maintain complete and accurate electronic filing of all outgoing correspondence on the policyholder's file
Loan Inquiries & Client Service (25%)
- Respond to inbound email requests for terminations from clients and brokers; ensure supporting documents are uploaded to the portal promptly
- Coordinate with the Bamboo Financing Team or First Insurance Funding on redebit requests and loan maintenance inquiries
- Maintain a high standard of customer service in all policyholder and broker interactions, meeting response time targets set by your manager
Policy Maintenance (20%)
- Upload cancellation documents received via email into the policyholder's file accurately and without delay
- Terminate policies that have been clearly requested and authorized by the policyholder
- Reinstate policies to Bound Status once loan accounts are brought up to date, confirming all conditions are satisfied
- Execute all tasks within the defined authority limits of a non-licensed agent under applicable provincial insurance legislation
Administrative Support (5%)
- Support Client Care leaders with policy notes, reporting, and other tasks as requested
- Take meeting minutes as requested by Client Care leadership
What You Bring
- 1–2 years of administrative, operations, or client service experience — ideally in insurance, financial services, or a regulated environment
- Strong attention to detail with a track record of high-volume, accurate document or correspondence management
- Professional written and verbal communication skills — you're comfortable corresponding with brokers and policyholders on behalf of the business
- Comfortable navigating CRM or policy management portals and uploading documents to digital systems
- Post-secondary diploma or certificate in Business Administration or an equivalent combination of education and work experience
Bonus Points For
- Prior experience in a non-licensed insurance agent role with working knowledge of authority limits under provincial insurance legislation
- Familiarity with Canada Post registered mail tracking and delivery follow-up processes
- Exposure to premium financing platforms such as Bamboo Premium Financing, First Insurance Funding, or similar
- Experience with BambooHR, Salesforce, or a comparable CRM or policy management system
