Position Summary:
Florida Atlantic University is seeking an Administrative Support Specialist – Boca Raton, FL.
Summary of Responsibilities include:
- Provides general office support to the Financial Affairs Division. General office support includes daily operational needs, such as ordering and keeping inventory of office supplies, providing onboarding support to new Financial Affairs employees (assisting with owl card issuance/office key acquisition), coordinating requests for Division golf cart usage, liaising with other FAU departments as needed, and promptly following up on internal and external requests.
- Assists the senior Financial Affairs Division leadership and others, as directed by senior leadership, with administrative tasks, including drafting messages, memos, and other ad hoc special projects.
- Covers the Administration Building reception desk for the Financial Affairs Suite.
- Distributes all incoming mail to appropriate areas.
- Manages calendar for meetings and staff development activities and coordinates reservations for conference room use.
- Answers phone calls and directs walk-in inquiries/help requests.
- Assists Procurement with processing and scanning invoices.
- Collects and distributes p-cards in support of the Supplier/P-Card Coordinator.
- Collects, secures, and distributes gift cards in support of Procurement for Research.
- Verifies terminated employees issued P-Card and outstanding Cash Advance.
- Communicate/follow up with employees for incomplete P-Card expense reports.
- Provide back-up HR support for the Financial Affairs HR Partners. This includes assisting with hiring and recruitment processes. Provide guidance and training to the community on common financial affairs-related questions.
- Provide one-on-one training initiatives for Financial Affairs as needed/directed by management (all units of Financial Affairs) either in person or via Teams to assist end user's clients.
- Performs other job-related duties and projects as assigned.

Minimum Qualifications:
A high school diploma and five years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications and Skills:
Customer Service, Reception, Sales, and Client Service experience.
