Overview

Nakupuna Companies is looking for an Administrative Support Specialist to provide professional services to the program office leadership of PMS-317, who is responsible for a portfolio of weapon systems and capabilities under PEO Ships. This individual will work closely with and coordinate support with the Nakupuna Project Manager.

Responsibilities

The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned.  Management may assign additional duties and responsibilities to this job at any time due to reasonable accommodation or other reasons.

  • Assist in coordinating the Program Office calendars, creating travel orders, providing general administrative support and administering general correspondence.
  • Provide support for drafting naval messages and official correspondence, to enable the Program Manager to effectively communicate with the Fleet.
  • Provide support in the development and writing of awards, letters of appreciation, or other items of recognition.
  • Assist in the update and maintenance of Program Office instructions, policies, procedures, processes and related documentation.
  • Assist in generation and delivery of technical letters and memoranda, including meeting agendas, meeting minutes, and drafting directives.
  • Assist in scheduling and coordinating meetings by generating agendas and meeting announcements, attending meetings, making arrangements for conference rooms, generating and tracking resolution of action items.
  • Coordinate, attend, and participate in meetings of the following types: staff meetings, stakeholder meetings, and all other program office meetings. At a minimum, participation includes the preparation of agendas and tracking resolution of action items.
  • Support the Program Office in the execution of planned and emergent tasks to include but not be limited to providing assistance in drafting, coordinating, editing, historical archiving, and tracking status of programmatic/financial/technical briefing packages, technical instructions, Congressional action items, audit responses, action items, and external data requests.
  • Assist in the capture, documentation, management, and promulgation of program lessons learned.
  • Assist in the development of program spreadsheets and graphic support as required.
  • Work with PEO Ships Command Information Officer (CIO) office to coordinate software updates and emergent IT requirements impacting the program office.
  • Assist in coordinating equipment upgrades, software requests, and network problem resolution consistent with NMCI policies and in conjunction with the CIO office.
  • Provide documentation support including scanning of unclassified documentation into searchable formats that are suitable for long-term archives.
Qualifications

Skills/Experience:


The ideal candidate possesses 5 years of professional experience in operations and administrative support. The ideal candidate will have the following skills and experience:

  • Good Communication Skills; Well Organized; Multi-Tasker
  • Experience in Defense Travel System (DTS); Communicating with Government Senior Level Personnel

Location: Washington Navy Yard


Clearance Requirements: Must be a US Citizen with the ability to obtain a government-issued CAC and possess a Secret clearance.


Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.

The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market ranges commensurate with multiple factors, including but not limited to the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation range for this position is $85,000.00 to $105,000.00 (annualized USD). The salary range displayed represents the typical salary range for this position and is just one component of Nakupuna Companies total compensation package for employees.
