Position Summary
MIRACORP is seeking an experienced Administrative Support Specialist to support NTIA’s executive, workforce, records coordination, and mission operations. This position provides high-level administrative and operational support to executives, managers, and program staff.
Essential Duties & Responsibilities
- Coordinate calendars, meetings, appointments, conference calls, travel, and organizational events.
- Prepare correspondence, agendas, presentations, briefing materials, and meeting minutes.
- Track executive requests, assignments, action items, deadlines, and deliverables.
- Support onboarding, offboarding, personnel tracking, training coordination, and workforce reporting.
- Maintain organizational charts, staffing lists, contact directories, and administrative trackers.
- Organize electronic files, SharePoint libraries, records, and document repositories.
- Support records inventories, file plans, retention requirements, and document retrieval.
- Coordinate data calls and consolidate organizational responses.
- Review documents for accuracy, completeness, formatting, and compliance.
- Develop administrative procedures, templates, trackers, and job aids.
- Support travel, timekeeping, procurement, property, facilities, and supply activities.
- Handle sensitive executive, personnel, and organizational information appropriately.
- Recommend improvements to administrative workflows and operational processes.
Minimum Education & Experience Requirements
- US Citizen
- Bachelor’s degree in business administration, public administration, management, communications, or a related field.
- Seven to ten years of progressively responsible experience in administrative, executive, mission, workforce, or records support.
- Experience supporting senior executives, managers, or federal program offices.
- Experience coordinating calendars, meetings, correspondence, records, reports, and action items.
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Strong organizational, proofreading, time-management, and communication skills.
- Ability to manage competing priorities and meet established deadlines.
- Ability to obtain and maintain any required federal suitability determination or security clearance.
Preferred Requirements
- Federal government or government contracting experience.
- Knowledge of federal administrative and records management requirements.
- Experience supporting federal travel, timekeeping, procurement, property, or personnel processes.
- Certified Administrative Professional, PMP, or a comparable certification.
