Salary Range: $60,000 - $70,000 a year.

INTECON, LLC is seeking a highly motivated Administrative Professional to join its team and manage administrative operations for directorate and division tasks. This role involves managing workflow systems like the Defense Travel System (DTS) and Automated Time Attendance and Production System (ATAAPS), handling classified communications, and coordinating teleconferencing sessions. The candidate must possess an active TS/SCI security clearance and have experience with USAF standard desktop computers for database and document management.

Mandatory Requirements:

  • Must possess an active Top Secret – SCI clearance

Key Responsibilities:

  • Support administrative tasks for directorate and division necessary to manage operations functions, including tracking Integrated Product Team (IPT) manning, preparing organizational charts, handling data entry functions using the Automated Time Attendance and Production System (ATAAPS), and managing the Defense Travel System (DTS).
  • Integrate information into required reports, generate and maintain training requirements, files, forms, and established file plans (both paper and electronic).
  • Process mail, including receiving, signing for, distributing both classified and unclassified mail, and manage the storage and handling of classified material as required.
  • Prepare correspondence in standard government formats, manage the operation of facsimile, printing, and copying equipment, and order supplies and equipment.
  • Schedule meetings and conference rooms to meet mission requirements and support email triage of upper-level management.
  • Ensure compliance with established security regulations pertinent to accepting, sorting, delivering, handling, and safeguarding of classified material.
  • Assist in the use of USAF standard desktop-based computers and operating systems to produce databases, spreadsheets, graphics, and other specialized products.
  • Facilitate the use of standardized automated forms such as travel orders, performance reports (including Clarity PPM), materials procurement, maintenance, and disposition.
  • Support in the planning, formulation, editing, creation, and publication of finished products such as program documentation, plans, directives, reports, briefings, and other presentations (both technical and non-technical; classified and unclassified).
  • Provide support in the processing and disposition of work effort reports (including processes of the Department of Defense Scientific and Technical Information (STINFO) office and the Defense Technical Information Center (DTIC)) and the retirement of folders and documents.
  • Assist with the duties of the Record Custodian (RC), including establishing and maintaining master files (both paper and electronic) and file plans of program data to facilitate tracking and resolution of issues associated with operations.
  • Assist in maintaining government-approved Research & Development case files.
  • Assist in establishment, implementation, and maintenance of Operating Instructions (OIs), create and maintain Self Inspection checklists, verify checklists against current administrative and organizational processes, and assist in maintenance of a tracking system for identification and correction of deficiencies.
  • Assist with ordering office supplies through inventory, gathering requests for supplies, and preparing and itemizing various lists for supplies and equipment to be ordered and purchased by the Government office to fulfill the mission.
  • Serve as the initial focal point for collecting and visually displaying materials for staff meetings and office organized information exchange meetings.
  • Provide support to the Video Teleconferencing (VTC) manager, assist with VTC bridge scheduling and VTC connectivity, and interface with VTC maintenance contractor.
  • Assist in retrieving data/information in the form of queries, reports, and taskers; maintain tracking systems for identification of deficiencies and corrective actions/closure, and prepare various documentation for Government review and approval.
  • Manage the flow of taskers in the directorate or division, ensuring follow-up on pending items and archiving completed tasks in Microsoft 365/SharePoint/Other designated knowledge management sites.
  • Communicate with directorate or division management regarding status.
  • Responsible for receiving, sorting, and dispatching incoming/outgoing mail and ensuring compliance with security regulations for handling classified material.
  • Provide records management support for the directorate/division using software applications such as Clarity, DTS, Info Center, ATAAPS, Outlook, PowerPoint, Word, and Share Data Warehouse.
  • Perform Records Custodian duties; digitally store and electronically file documentation using standard DoD, AF, AFMC, and/or AFRL enterprise systems such as LiveLink or SharePoint.
  • Manage correspondence, answer common phone lines, direct callers and visitors appropriately, update contract work unit forms information into AFRL Clarity software tool (or other tools as required), execute Clarity queries and distribute to program managers and engineers, and create spreadsheets to track all active directorate/division work units.

        Qualifications:

        • Bachelor’s degree in Business Administration or a closely related field.
        • At least 2-4 years of administrative experience, preferably in a government or military setting. Extensive experience with the Defense Travel System (DTS) and workflow management essential.
        • Must possess and maintain at least a TS/SCI security clearance.
        • Proficient in using Automated Time Attendance and Production System (ATAAPS).
        • Experienced in handling classified and unclassified mail, including receiving, signing for, distributing, and safeguarding classified materials
        • Skilled in creating, editing, and managing documents within the Defense Travel System (DTS) and using USAF standard desktop computers for database and spreadsheet production.
        • Ability to integrate information into required reports, manage data entry functions, and maintain various administrative records.
        • Capable of tracking Integrated Product Team (IPT) manning and preparing organizational charts.
        • Proficient in preparing correspondence per standard government formats and managing the operation of office equipment.
