Business Support Services handles mail services, central printing and distribution of forms and documents, assembly of policies, document imaging and customer service. The group also manages the retention and/or destruction of confidential Company documents.
The Business Support Services department is hiring for an Administrative Operations Representative to join their team! This position requires an in-office schedule 5 days a week.
Essential Job Functions and Responsibilities
Document production support – Handles scanning, print production, and assembly tasks like binding, folding, cutting, and packaging.
Equipment operation – Runs and supports digital print/production equipment including copiers, printers, and finishing devices.
File preparation – Formats print-ready files, ensuring proper alignment and page setup before production.
Quality control – Performs checks on printed materials for accuracy, completeness, and adherence to specifications.
Print queue management – Monitors queues and prioritizes jobs based on urgency, deadlines, and customer needs.
Troubleshooting & upkeep – Resolves basic equipment issues, escalates complex ones, and keeps work areas stocked and operational.
Customer support – Assists internal customers with print submissions, greets visitors, and screens/routes incoming calls.
Data entry – Inputs data into systems and conducts basic accuracy checks.
Technology coordination – May assist with new hire setup, hardware requests, and user access requests.
Workload & communication management – Juggles multiple tasks, meets deadlines, adapts to changing priorities, and clearly communicates job status to internal customers.
Job Requirements
Education: High School Diploma or equivalent.
Scope of Job/Qualifications: Possesses organizational abilities to manage multiple tasks efficiently. High attention to detail related to communications, scheduling, and recordkeeping. Demonstrates working knowledge of business systems and applications and utilizes relevant equipment to perform job functions effectively. Develops working knowledge of department operations, policies, and procedures. Excellent interpersonal and communication skills. Demonstrates interpersonal and communication skills. Proven ability to handle confidential information with discretion.
