About the opportunity


The Administrative Officer provides high-quality administrative and operational support to ensure the effective delivery of services within the designated work area. The role is responsible for coordinating administrative processes, maintaining accurate records, supporting stakeholder communication and ensuring the efficient flow of information across the team.

The successful candidate will provide professional administrative support through coordinating processes, managing information, supporting financial administration and developing productive relationships across the University.


Project name: Australasian Pancreas and Islet Network (AUSPIN)

This position is to support the workings of a new program to distribute human donor pancreas to researchers across Australasian working on diabetes. This administrative role involves liaison with clinicians and researchers, collating information and databases and organisation of meetings. The role will largely be conducted in normal office hours but the nature of human donations means that occasional out of hours work is necessary. The candidate will have good communication skills, be organised and be capable of working independently.

It is required to be one day per week in office at the Charles Perkins Centre, the day is flexible but must be consistent each week.


Your key responsibilities will be to:

  • deliver general administrative services and operational support to the work area
  • investigate administrative matters and prepare advice, recommendations and solutions
  • manage incoming enquiries and correspondence, preparing responses and routine documentation
  • provide administrative support including diary, travel and accommodation management
  • gather, organise and summarise data from a range of sources to prepare reports, charts, graphs and tables
  • coordinate administrative processes, services and the development of resources for the work area
  • manage purchasing, payment and invoice processes to support effective operations
  • develop and maintain productive working relationships with staff and stakeholders across the University
  • undertake other duties relevant to the role’s key accountabilities as approved by the Manager and commensurate with the role’s classification level.

About you

  • qualifications in a relevant field, including a Certificate IV, Diploma, Advanced Diploma, Bachelor’s degree or equivalent combination of relevant training and experience
  • two to four years’ experience in administrative roles
  • experience providing diary management support
  • experience managing purchasing and invoicing processes
  • strong computer literacy skills, including proficiency with Microsoft Office applications
  • excellent organisational and time management skills with the ability to prioritise competing tasks and meet deadlines
  • strong communication skills with the ability to provide professional and effective support to a range of stakeholders
  • ability to work collaboratively as part of a team and contribute to a positive workplace culture.
