SUMMARY:
The Administrative Coordinator is responsible for providing high-level administrative support for Mutual Bancorp's Executive Office, including but not limited to, all aspects of planning meetings and activities, expense reports, document preparation and editing, filing, and corporate governance-related matters. The successful candidate in this position will work closely with the Managing Director, Governance to support the Executive Office to achieve strategic and organizational goals. The Administrative Coordinator will be responsible for handling highly confidential matters and materials with discretion as well as anticipating the needs of the Executive Office.
ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES: This position is required to handle highly confidential matters and materials with discretion. The responsibilities of this position include, but are not limited, to:
- Accountable for providing a high-level of professional service and support for the Executive Office which includes the Executive Management and the Board.
- Responsible for extensive scheduling and calendar management; inclusive of Board meetings, conferences, and activities
- Assist the Executive Office Support team with preparing meeting materials, agendas, summaries, communications and/or minutes.
- Assist with the content and flow of information for meetings.
- Assist with the meeting logistics, meeting communications, and travel requirements for all attendees.
- Conduct research, develop background information, and compile data as directed.
- Assist on various projects and matters as needed.
- Provide administrative assistance to Executive Management.
- Assist the Executive Office Support team on various projects and coordinate with different functions to facilitate meeting activities.
- Assist with other duties which may be assigned.
QUALIFICATIONS:
EDUCATION & CERTIFICATIONS: (Minimum education required to perform the duties of this position)
- Associate degree in business-related field or professional administrative certificate, or equivalent experience required.
KNOWLEDGE, SKILLS & ABILITIES:
- Requires the ability to exercise discretion, judgment and initiative.
- Proficiency in using Microsoft Office software suite, including Word, Excel, PowerPoint, Outlook, Access etc.
- Proficiency with IOS and Apple products strongly preferred.
- Ability to multi-task and work at rapid pace while constantly reprioritizing.
- Comfortable with current office and communications technology and interested in continuously expanding this knowledge and adapting to new technological advances.
- Excellent writing, grammar and proofreading skills.
- Ability to be flexible and poised in a work environment of changing priorities.
- Reliable and discreet.
- Must demonstrate initiative, good problem-solving abilities, and excellent communication and organizational skills. Must be able to handle confidential/sensitive information and/or circumstances.
- Ability to work occasional long hours and those outside of normal business hours.
- Ability to thrive under pressure and maintain a sense of humor!
