Job Summary (basic description)
An Administrative Coordinator position will provide you with the opportunity to make an immediate impact to our Immigration team by providing project and administrative support to our legal teams. You will work in an exciting, ever-changing and challenging atmosphere with people who are passionate about immigration. The successful candidate will possess a customer service mindset, be very organized, able to multi-task and possess strong attention to detail.
Essential Functions
- Responsible for receiving, scanning, and entering all client information received from the various governing agencies
- Responsible for maintaining the accuracy of client information using the Firm’s internal immigration database and document management system
- Utilize the immigration database to run reports as requested by attorneys
- Monitor the status of cases and track expiration dates; communicate deadlines to paralegals and attorneys
- Prepare filing fee check requests as directed by paralegals
- File and maintain client records as required by firm policy
- Follow up with clients as needed regarding requests for additional information
- Assist with the preparation of client documents for submission to the various governing agencies
- Willingness to learn the procedures and processes involved with preparing and submitting immigrant and non-immigrant applications
- Work with the billing and engagement departments to close client matters
- Demonstrate the ability to identify and implement improved efficiencies in the current data management process
- General administrative duties as needed (i.e. copying, scanning, printing)
- Provide additional administrative support to the department and the office as requested
Qualifications/Skills Required
- Must have strong attention to detail and be able to work in a fast-paced team environment.
- Knowledge of Office 365, including Outlook, Word, Excel, and PowerPoint.
- Punctual with reliable attendance.
- Ability to multi-task, and timely respond to deadlines as well as balance workload.
- Strong interpersonal skills and ability to work well in cooperative, small office environment and communicate with attorneys and support staff on every level.
- Experience with immigration law and/or working in a law firm is a plus.
Educational Requirements
- High School diploma or equivalent required.
- Associates or Bachelor’s degree preferred.
