Summary of Job Duties:
The Administrative Coordinator will provide administrative support for the Department of Pediatrics Primary Care and Clinical Informatics sections. The Primary Care sections are: General Pediatrics, Community Pediatrics, and Adolescent Medicine. The position will report to the Primary Care Office Manager and provide assistance in planning, event coordination, purchasing, scheduling, and more.
Qualifications:
  • Bachelor's degree plus two (2) years of experience in general administrative office support, or
  • Associate's degree plus four (4) years of experience in general administrative office support, or
  • High School Diploma/GED plus six (6) years of experience in general administrative office support required.

Knowledge, Skills & Abilities:

  • Highly organized, detail-oriented, and efficient.
  • Excellent interpersonal and communication skills, both oral and written.
  • Strong problem solver who thrives in a fast-paced environment, demonstrating the flexibility and adaptability needed to work calmly under deadline pressure and pivot as priorities shift.
  • Must work effectively both independently and interdependently within a team, while consistently handling sensitive company, financial, and personnel records with strict confidentiality and integrity.
  • Strong working knowledge of Microsoft Office—specifically Word, Excel, PowerPoint, Outlook, and calendar management—is required, while proficiency with software applications such as QGenda, Workday, and Zoom is highly desirable.

Responsibilities:

  • Coordinates office activities with the Office Manager and other professional staff across various units
  • Submits clinic modifications to ACH to update physician schedules and maintain tracking spreadsheets
  • Gathers credentialing information for the Primary Care and Clinical Informatics faculty
  • Assists with updating the Primary Care and Clinical Informatics profiles on the UAMS website
  • Assists with travel preparation, expense reimbursements, and general purchasing for assigned sections
  • Assists with updating and tracking IT inventory in the Primary Care and Clinical Informatics sections
  • Handles daily office operations, including mail, faxes, filing, copier readings, eFund reports, IT/maintenance tickets, optimizing physical/digital workspaces, maintains kitchen supplies and cleanliness
  • Requests privileges for department security access for software and shared drives/folders for faculty
  • Escortscandidates/students across campus
  • Sets up conference rooms and coordinates meetings.
  • Performs other duties as assigned.
