Who We’re Looking For: 

The Administrative Coordinator is a key role supporting and managing office administration for Laborie sites, skills include optimizing office procedures, coordinating visitors & vendors, and providing general business support and exemplary customer service

 

About the Role:

Reception & Visitors 

  • Owner of Plant Calendar and Training Center Calendar to ensure all visitors & events are approved and scheduled to avoid conflicts 
  • Receive visitors and provide optimal first impressions for internal and external customers in alignment with our Laborie brand & values.  Conductions Safety briefing for first time visitors 
  • Manages day-to-day administration of CARE system (Security & Card Access) 
  • Manages incoming/outgoing mail distribution and courier services working in conjunction with warehouse/shipping team 

Office Administration

  • Maintain tidy and well-organized common areas 
  • Event planning & coordination with caterers for on-site food/beverage, including set-up and clean-up   
  • Service on Employee Engagement team contributing to positive workplace culture 
  • Maintain office equipment and purchase and manage office supply inventory 
  • Prepares, analyzes, and coordinates with local suppliers for efficient delivery of products and services 
  • May coordinate certain maintenance items for facility working with Facilities Manager, property management, cleaning services, local utilities, and building security services providers 
  • May provide support to shipping and receiving at facility as backup 

Document Management & Administrative Support

  • Supports Site Leader with all invoice & accounts payable duties, expense reporting.  Discretion in handing and maintaining confidential information. 
  • Assists Site Leader in coordinating materials for various presentations, Site Performance Reviews & reports 
  • Talent Acquisition & New Hire support, including certain orientation materials & documentation (HR & payroll items). 
  • Provides support when needed for plant Sustainability reporting & sustainability projects  
  • May support Operations team with various documentation related to Operations training 
  • Other administrative tasks as assigned 

Project Management

  • Support management with special projects and process improvement. 

 

What you Bring:

  • High school diploma (or GED equivalent); secretarial certification preferred 
  • Advanced Microsoft Office skills: Word, Excel, PowerPoint, Outlook 
  • Maintain a professional & welcoming demeanor 
  • Demonstrated professionalism in written and verbal communications 
  • Strong organizational and time management skills 
  • Ability to prioritize, multitask and work with minimal supervision required 
  • Flexibility to work overtime as necessary, sometimes without advanced notice 
  • Accuracy and attention to detail are essential 
  • Commitment to meeting deadlines 
  • Ability to remain calm under pressure
