What you will be doing
The Admin Coordinator is responsible in providing comprehensive administrative and management support to the GSSC Controller/General Manager and the entire GSSC team. He / She will coordinate documentation, procurement requests, office supplies, travel, employee engagement activities, and other day-to-day administrative requirements.
He / She will also support management meetings, maintain organizational records and communication lists, and assist with Business Continuity Planning (BCP) activities. The role requires strong organization, attention to detail, confidentiality, and the ability to manage multiple priorities and ad hoc requests in a fast-paced global environment.
Key Responsibilities
Provide administrative and operational support to the Controller/General Manager and GSSC management team.
Prepare check cancellation letters and coordinate the routing of remittance and PDC checks for signature.
- Process PO requisitions and coordinate GSSC supplies and equipment issuance.
- Support BCP requirements, including power bank issuance and tracking.
- Coordinate GrabFood orders for trainings and employee engagement activities and monitor monthly Grab invoices.
- Maintain and update the GSSC organizational chart and email distribution lists.
- Act as ManCom Secretary, including scheduling meetings, coordinating requirements and taking minutes.
- Handle confidential information and ensure proper documentation and record keeping.
- Coordinate with internal departments, suppliers, and other stakeholders to ensure timely completion of requests.
- Perform other administrative and ad hoc tasks (i.e. travel/visa requirements) as assigned by the Controller/General Managers
Qualifications
- Graduate of any College Degree preferably in Business Administration, Management, Office Administration, or a related field
Relevant experience in administrative support, shared services, executive support, or a similar role.
Experience with procurement processes, PO requisitions, bank checks, travel assistance and ERP systems.
Proficient in Microsoft Office applications, particularly Outlook, PowerPoint, Word, and Excel.
Able to handle confidential information with discretion and professionalism.
Excellent written and verbal communication skills.
Strong organizational skills with excellent attention to detail and accuracy.
Strong coordination, follow-up, and time-management skills.
Ability to work independently, manage multiple priorities, and meet deadlines.
Proactive, dependable, and service-oriented with a strong willingness to support a fast-paced global organization.
